Working under direct supervision, the role helps ensure timely completion of work and smooth workflow by handling routine, process‑driven tasks that do not require advanced legal training or independent judgment. The Paralegal Assistant applies established procedures and firm systems to gather, organize, file, and retrieve documents, addresses basic issues, and escalates more complex matters to higher‑level staff as appropriate, enabling paralegals and attorneys to focus on work requiring substantive legal expertise.
Key Responsibilities and Essential Job Functions:
- Provide clerical and administrative support to paralegals and attorneys under direct supervision to ensure efficient workflow and timely completion of legal work.
- Gather, compile, organize, file, retrieve, and distribute physical and electronic documents using established firm systems and procedures.
- Prepare and maintain case- and transaction-related files, including indexing, labeling, numbering, and active file maintenance.
- Assist with the preparation of materials such as files, exhibits, binders, and document sets for trials, hearings, depositions, mediations, arbitrations, closings, and other practice group specific events.
- Support document production and filing activities, including compiling documents for court or regulatory filings, monitoring status, and distributing copies as directed.
- Perform routine document tasks such as converting files to required formats, drafting indexes or tables of contents, and saving documents to designated repositories.
- Handle basic administrative and case‑support tasks, address routine issues, maintain confidentiality, and escalate more complex matters to paralegals or attorneys as appropriate.
- Work collaboratively within a team environment while following established guidelines and instructions.
- Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
- Special projects and duties as assigned.
Required Skills:
- Knowledge of or ability to learn Microsoft Office Suite, or Microsoft 365.
- Ability to perform clerical and administrative legal support tasks under the direction of paralegals and attorneys.
- Strong document management and organizational skills, including filing, indexing, labeling, numbering, and maintaining physical and electronic records.
- Attention to detail when compiling, organizing, reviewing, and preparing documents and binders.
- Ability to follow established procedures, instructions, and firm systems for document handling and file maintenance.
- Proficiency in routine document tasks such as converting documents to required formats (e.g., Word or Excel to PDF) and saving files to designated repositories.
- Ability to work collaboratively in a team environment and communicate effectively with paralegals, attorneys, and support staff.
- Ability to work under direct supervision while meeting deadlines and supporting multiple assignments as directed.
- Ability to handle basic issues independently and escalate more complex matters appropriately.
Required Qualifications & Education:
- Bachelor’s degree.
- 1 - 3 years of experience.
- Experience performing document organization, filing, and case or transaction support activities.
Preferred Qualifications & Education:
- Prior experience providing clerical or legal support in a law firm, legal department, or related professional environment.

- Ability to sit or stand for extended periods of time.
- Moderate or advanced keyboard usage.

Target practice groups that match your degree
Holland & Knight staffs OPT hires most consistently in roles tied to specific degree fields, such as business operations, legal technology, and compliance. Map your degree to a practice group before applying, because mismatched credentials slow the evaluation process and reduce your chances of clearing initial screening.
Confirm E-Verify enrollment before accepting an offer
STEM OPT's 24-month extension requires your employer to be enrolled in E-Verify. Ask Holland & Knight's recruiting or HR team to confirm enrollment before your offer letter is signed. A firm that isn't enrolled cannot support the extension, which cuts your authorized work period significantly.
Apply before your OPT EAD arrives if timing is tight
You can start working on your OPT start date even if the physical EAD card is still in transit, as long as USCIS approved the application. Communicate your exact authorization dates to Holland & Knight's onboarding team early to avoid I-9 completion delays on day one.
Use Migrate Mate to identify Holland & Knight's H-1B filing history
Knowing whether Holland & Knight has sponsored H-1B visas in roles similar to yours tells you a lot about your long-term path there. Migrate Mate surfaces DOL Labor Condition Application data by employer and role so you can evaluate the firm's sponsorship track record before negotiating an offer.
Frame your resume around billable, revenue-generating contributions
Law firms weigh OPT candidates on whether they can contribute to client work from day one. Highlight any legal research, contract analysis, compliance work, or client-facing projects from internships. Generic administrative experience reads as overhead, not value, in a legal services hiring context.
Start your H-1B registration conversation at the six-month mark
H-1B registration opens each March, and USCIS requires the employer to file before your OPT expires. Raise the sponsorship conversation with your manager or HR contact no later than six months into your OPT so Holland & Knight has time to engage outside counsel and prepare the petition.
Holland & Knight LLP OPT Eligibility: Frequently Asked Questions
Does Holland & Knight LLP sponsor OPT visas?
Holland & Knight doesn't sponsor OPT itself. OPT is work authorization USCIS grants directly to F-1 students. What Holland & Knight does is hire students who already hold an OPT EAD. The firm has a history of hiring international talent and supporting the transition to H-1B sponsorship for qualifying employees.
Which roles and departments at Holland & Knight typically hire OPT students?
OPT hires at Holland & Knight tend to cluster in business operations, legal technology, compliance, and paralegal functions where a specific degree field maps clearly to the role. Practice groups focused on corporate law, intellectual property, and regulatory work also bring on OPT candidates whose academic backgrounds align with active client matters.
How do I confirm that Holland & Knight will support my STEM OPT extension?
Ask Holland & Knight's HR or talent team directly whether the firm is enrolled in E-Verify before you accept an offer. STEM OPT's 24-month extension is only available at E-Verify-enrolled employers, and that enrollment must be in place when you submit your extension application to your DSO.
How do I evaluate Holland & Knight's H-1B sponsorship history before applying?
Migrate Mate lets you search DOL Labor Condition Application records by employer and role, so you can see which job titles Holland & Knight has sponsored for H-1B in the past. This tells you whether the firm has a real track record in your function before you invest time in the application process.
What timeline should I expect from OPT hire to H-1B filing at Holland & Knight?
H-1B registration opens each March for an October 1 start date. If you're hired on OPT, you'll need to work backward from that March window. Most law firms, including Holland & Knight, engage outside immigration counsel several months in advance, so raise the H-1B conversation with HR well before the registration period opens.
How does Holland & Knight LLP hire OPT students?
OPT is work authorization granted directly to F-1 students after graduation — no employer petition is required. Holland & Knight LLP can hire OPT students as soon as their EAD card is approved. STEM degree holders can extend OPT by 24 months when their employer is enrolled in E-Verify. Most companies that hire OPT students also support the transition to H-1B when the student's OPT period is ending. Check Holland & Knight LLP's individual postings on Migrate Mate to confirm OPT acceptance per role.
