ABOUT THE ROLE
As a Senior Document Controls Specialist at Giga, you'll be the backbone of how we capture, manage, and protect the critical technical information powering our infrastructure buildout. You're not filing paperwork — you're ensuring that every drawing, specification, RFI, and submittal gets to the right person at the right time, with full version integrity. In a business where physical infrastructure moves fast and mistakes are expensive, your systems will directly determine how effectively our Engineering and Construction teams execute. You'll own this function end to end, build structure where there isn't any, and raise the bar on how a modern energy infrastructure company manages its technical documentation.

We are an in-office culture — velocity matters when you're building physical infrastructure, and the best decisions happen in the room. This role is ideally based in our San Francisco, Long Beach, or Houston offices, with full-time onsite expectations outside of bi-weekly WFH Fridays.

Responsibilities
- Own and administer Giga's document management system (DMS), ensuring all project documentation — drawings, specs, submittals, RFIs, transmittals, and correspondence — is captured, version-controlled, and accessible across Engineering and Construction teams.
- Establish and enforce document control procedures, naming conventions, and workflows; drive adoption across internal teams and external contractors/vendors.
- Manage the full lifecycle of engineering drawings and technical documents, including issuance, revision tracking, and as-built documentation.
- Coordinate with Engineering, Procurement, and Construction teams to ensure documentation milestones align with project schedules; proactively flag gaps or delays.
- Process and track submittals, RFIs, and change documentation with accuracy and speed; maintain auditable logs and ensure timely distribution to relevant stakeholders.
- Support third-party audits, permitting processes, and regulatory submissions by ensuring documentation packages are complete, accurate, and properly controlled.
- Identify opportunities to improve document control processes and tooling; lead implementation of improvements with minimal supervision.
- Onboard and train project team members on document control systems, processes, and standards.
BASIC QUALIFICATIONS
- 5+ years of document controls experience on large-scale capital projects in energy, construction, infrastructure, or industrial sectors.
- Deep expertise with at least one enterprise DMS platform (e.g., Procore, Aconex, ProjectWise, ACC, SharePoint, or equivalent).
- Demonstrated experience managing controlled documents across multi-disciplinary engineering and construction teams.
- Strong working knowledge of engineering document types: drawings, P&IDs, SLDs, specifications, submittals, RFIs, transmittals, and as-builts.
- Extensive experience managing document workflows, technical drawing reviews, and revision/version control using enterprise DMS platforms.
- Exceptional organizational skills and meticulous attention to detail — you catch errors before they become problems.
- Ability to build and enforce processes in a fast-moving environment without sacrificing accuracy or compliance.
- Strong communication skills with the ability to work effectively across technical and non-technical stakeholders.
