Rituel de Fille is a growing independent cosmetics company. We proudly manufacture the majority of our products in-house in small, meticulous batches. Managing fulfillment from our own facility, we currently offer our products through both ecommerce and wholesale distribution channels.

Position Overview

We are seeking a reliable, full-time Operations Manager to oversee our manufacturing, sourcing, warehousing, shipping, and customer service. Step into a supportive and highly collaborative environment where your leadership will directly impact our continued success and daily efficiency.

This is a hands-on leadership role. You will own the systems and processes that keep us accurate and on time; mentor dedicated small teams; protect our margins; and help us build toward a more scalable future. The right candidate is incredibly organized, a proactive communicator, a fast learner, and a self-driven problem solver. You excel at managing people, maintaining positive working relationships, and effectively communicating upward to ensure ownership is always informed of shifting priorities and firm deadlines.

Initially, the Operations Manager will lead three direct reports:

• Manufacturing Manager (manages 2-4 reports)
• Customer Service/Purchasing Manager (works with an array of contractors)
• Warehouse Specialist (occasionally 1-3 temp/seasonal reports)

The Operations Manager will oversee facility, manufacturing, warehousing, customer service and shipping operations to ensure all teams are aligned and working harmoniously to achieve broader company goals.

Key Responsibilities

• Process and Flow Management: Oversee sourcing, manufacturing, warehousing, shipping, and customer service. Monitor the complete lifecycle from raw materials to final delivery, coordinate AP/AR, and swiftly address any operational interruptions.
• MRP System Ownership: Lead MRP system implementation and processes. Maintain data integrity, create work orders, ensure cross-platform accuracy, and forecast based on depletion.
• Inventory Control: Track raw materials, packaging, finished goods, retail displays, and shipping supplies with precision. Ensure POs are placed accurately, evaluate new vendors, and provide accurate inventory reporting for accounting.
• SOP Development: Work alongside direct reports to refine, document, and enforce internal processes. Proactively improve SOPs to boost efficiency and collaborate with stakeholders to resolve systemic issues.
• Project and Deadline Tracking: Meticulously track product launches and shifting deadlines. Guide manufacturing and shipping teams to ensure workloads are prioritized and targets are hit.
• Team Allocation and HR Oversight: Delegate tasks and facilitate training for staff, contractors, and seasonal workers. Manage digital timecards, payroll validation, and general HR compliance to foster a respectful, supportive workplace.
• Logistics and Shipping: Coordinate import/export and domestic shipping (small parcel and freight). Manage carrier contracts, customs/duties, and evaluate service providers to guarantee on-time delivery.
• Documentation Management: Meticulously maintain physical and digital records, including batch records, compliance info, vendor setups, and product data.
• Facility Management: Maintain our small industrial space utilizing GMP best practices. Oversee safety supplies, waste management, equipment troubleshooting, and contractor communications.
• Cross-Departmental Collaboration: Ensure vital information flows seamlessly to the Ecommerce Manager, Social Media Manager, and Financial Controller.

The Tools You Will Use

• Commerce and Sales: Shopify Plus, Amazon FBA, Shop App, TikTok Shop, Instagram/Facebook Shop
• Manufacturing and Inventory: Katana (MRP), The Good Face Project (formula records, compliance)
• Shipping and EDI: ShipStation, Lingo/EZcom (EDI)
• Finance: QuickBooks Online, Bill.com, Numeral (sales tax/VAT)
• Customer Service: Gorgias, Okendo
• HR and Workplace: Rippling, Google Workspace

Experience Needed

• Consumer packaged goods manufacturing experience: Cosmetics manufacturing experience preferred (color cosmetics is a major advantage).
• Warehousing, fulfillment, and export of consumer packaged goods (cosmetics, personal care, supplements, or food strongly preferred). Ecommerce experience is highly valued.
• Purchasing, logistics, and importing of materials/finished goods.

Required Skills and Competencies

• Outstanding communication and management skills; ability to deliver clear direction and reliably follow procedures.
• Proactive problem-solving; capable of independent work while keeping ownership clearly updated.
• Mechanical inclination to confidently troubleshoot and fix equipment.
• Eagerness to develop familiarity with our formulations, products, and regulatory requirements (a personal passion for wearing makeup is not required).

Pay: $85,000.00 - $95,000.00 per year
