SUMMARY: Under the immediate supervision of the Vice President for Student Affairs, the Administrative Assistant for Student Affairs serves as the coordinating point for all student affairs reporting areas.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Serve as a coordinating point of contact for the Vice President for Student Affairs, Dean of Students and Athletic Director; schedule meetings and appointments, assist with telephone calls, preparation of letters, filing, etc.
- Assist in compiling confidential information
- Assist in special projects, reports, or changes influenced by both internal and external sources
- Assist with athletic eligibility certification
- Assist with and track athletic letters of intent
- Assist with EADA reporting
- Distribute incoming mail for office
- Maintain dormitory lists, room assignments, input room assignments at the beginning of each semester and make changes as needed
- Collect student employment records to include all payroll cards
- Maintain parking tickets, student decals, temporary parking permits, faculty/staff parking permit records
- Receive messages for security
- Schedule workers for game night score table, gate, concession stand and order supplies for concession
- Answer questions, collect paperwork on each athlete and coordinate paperwork between coaches, athletic trainers and Athletic Director
- Order athletic passes and manage distribution
- Regularly update job manual for position
- Submit work orders and travel requests as needed
- Supervise student workers for the office
- Provide quality customer service to all stakeholders of Northern Oklahoma College
- Oversee rental property paperwork and leases; assist in preparation of quarterly reports to be submitted to the Office of Financia Affairs.
- Perform all other duties necessary to accomplish the objectives of the Office of Student Affairs and promote the mission of the college
QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The Administrative Assistant must preserve confidentiality of privileged and sensitive information; use independent judgment and initiative in the planning, organization, and performance of responsible administrative work; and establish and maintain cooperative working relationships with those contacted in the course of work. Strong organizational and time management skills; effective oral and written communication skills; and proficiency of Microsoft Word and Excel software applications are required.
EDUCATION and/or EXPERIENCE: A minimum educational level of an associate degree and two years related experience; or equivalent combination of educational and experience is required.
