Job Description
Receives inbound communications (e.g., calls, emails, faxes, orders) from patients and physicians requesting scheduling services with Children's department. Coordinates complex appointment scheduling of various medical appointments and procedures across the Children’s system. Maintains patient demographic and insurance pre-registration information in appropriate department scheduling system. Makes outbound calls for appointment reminders, recalls, and other outbound call activity.
Experience
2 years of experience in patient scheduling or access in a healthcare setting
Preferred Qualifications
- 2 years of experience in provider and/or multispecialty scheduling in a clinical setting
- Experience in Epic Cadence
Education
High school diploma or equivalent

Job Responsibilities
- Coordinates complex appointment scheduling for physicians and self-referrals, using intricate scheduling tools. Uses department policies and standard operating procedures to evaluate and determine the best appointment alternatives that meet patient needs and caregiver requests.
- Meets quality metrics and department standards for call handling.
- Enters appointments accurately in scheduling systems, including insurance verification and patient demographic information.
- Stays aware of insurance authorization needs and follows department policies on establishing appointments that do not have confirmed authorizations.
- Stays current with division/practice updates and the processing of information via communication channels such as email, department SharePoint site, staff meetings, and web alerts.
- Participates in reviewing appointment selection protocols by provider and diagnosis for every supported department/provider.
- Participates actively in optimizing provider capacity by proactively filling open slots and utilizing measures to decrease cancelation and no-show rates.
- Assists with training of new hires for the scheduling team.
- Supports the outpatient and hospital imaging sites with imaging scheduling, modality utilization, and other workflow optimization projects as deemed necessary.
