INTRODUCTION
Morehouse School of Medicine seeks applications for the position of Admissions Application Data Management Specialist. This position oversees the application management process for the Office of Admissions and provides professional, technical, and administrative leadership for the admissions annual cycle in support of new student recruitment efforts by coordinating with key offices, including Financial Aid, Information Technology Services, Registrar, and Marketing & Communications. Reporting to the Director of Admissions, the Admissions Application Data Management Specialist serves as a member of the Enrollment Management senior staff and is a member of the Admissions recruitment team who participates in activities related to the recruitment of prospective students.
ROLE AND RESPONSIBILITIES
Specific responsibilities include:
- Providing professional, technical, and administrative leadership for the AMCAS and other technical systems (e.g. CollegeNet or similar, Banner).
- In collaboration with the Director of Admissions, managing the process by which 6000+ applications for admission are submitted, imported, acknowledged, completed, reviewed and integrated into the school’s student information system.
- Coordinating continuous system training for staff to enhance knowledge of online applications and emerging technology.
- Developing and maintaining system audits to ensure data integrity and accuracy.
- Managing the execution and balance of admissions communications.
- Monitoring admissions recruitment analytics.
- Assisting with applicant surveys (immediately following their interview and declination surveys).
- Training and assisting administrative assistants with data entry.
- Educating faculty and staff in optimal use of admissions data systems.
Additional duties:
- Track and input all incoming recruitment and application materials in the Banner admissions module.
- Assist students with online applications.
- Update and maintain applicant files both manually and electronically using both AMCAS and CollegeNet applicant systems.
- Maintain and update the Banner admissions module in an accurate and timely manner.
- Prepare admission enrollment statistics reports in Excel format for admission personnel and other school administrators.
- Collaborate with all degree programs in the admissions processes.
- Collaborate with Marketing and Communications in sustaining an updated online application portal.
- Collaborate with Information Technology on database troubleshooting and upgrades.
- Assist with Interview Day and Orientation Day logistics.
- Additional duties as assigned by the Admissions Director and/or the Dean of Admissions.
MINIMUM QUALIFICATIONS
A bachelor’s degree from a regionally accredited college or university is required.
Minimum of 2 years relevant work experience required.
Additional requirements include:
- Excellent computer and analytical skills.
- Proficiency with the Microsoft Office Suite, Cognos, or equivalent reporting software.
- Database management with an understanding of programming logic/workflow and data population as well as the ability to learn new technologies quickly.
- Knowledge of online applications systems.
- Strong interpersonal and presentation skills.
- Excellent communication skills, both verbal and written.
- Superior organizational and time management skills (attention to detail, accuracy a priority).
- Ability to multi-task and prioritize with minimal supervision.
- Ability to handle confidential information with discretion and tact.
- Ability to maintain composure and meet deadlines consistently in a fast paced environment with many competing demands.
PREFERRED QUALIFICATIONS
- Previous college admissions experience is strongly preferred.
- Prior knowledge and experience with Banner or a similar admissions database preferred.
- Prior Ellucian/Banner or Workday Student experience is desired.
