JOB SUMMARY
The Else School of Management at Millsaps College invites applications for the position of Program & Operations Coordinator. This role is central to the daily operations, executive education programs, and external initiatives of the Else School. The position works closely with the Dean and the Director of Administration to coordinate programs, support faculty initiatives, and help develop efficient systems that allow the Else School to operate smoothly and effectively. The Director of Administration focuses on institutional coordination and administrative leadership, while this role emphasizes program execution, operational systems, and process improvement.
The successful candidate will enjoy solving operational challenges, organizing complex projects, and identifying ways to improve processes and systems across the Else School. The ideal candidate is proactive, dependable, and curious about improving how work gets done.
This position works on-site in Jackson, Mississippi, with regular office hours from 8:00 a.m. to 4:30 p.m., including a one-hour unpaid lunch break. Evening and weekend work may be required periodically to support programs, events, and special initiatives.
JOB DUTIES
- Coordinate operational and administrative functions that support academic, executive education, and non-degree programs within the Else School of Management.
- Process financial and administrative transactions including reimbursements, purchase card reconciliations, advances, accounts payable documentation, invoicing, and incoming deposits using established college systems.
- Maintain tracking for program budgets, payments, revenues, and related operational data; prepare financial summaries and reports for leadership review.
- Fulfill purchasing requests for instructional materials, office supplies, equipment, and program needs in accordance with institutional policies.
- Design, document, and maintain operational workflows and process improvements using Microsoft 365 tools, including Teams, Planner, SharePoint, and Power Automate.
- Maintain organized digital file systems and internal process documentation to support continuity, efficiency, and effective knowledge sharing.
- Provide front-line technology and systems support for Else School faculty, staff, and program participants, coordinating with campus IT support as appropriate.
- Manage virtual accounts and program logistics; assist with learning management system setup, course materials, and adjunct faculty support as needed.
- Create and coordinate program materials, presentations, and basic promotional content for executive education and non-degree offerings.
- Coordinate logistics for programs, workshops, conferences, and events, including room scheduling, catering, vendor coordination, registration setup, payment processing, and on-site execution for on- and off-campus events.
- Monitor program enrollment and revenue for non-degree offerings and report outcomes to leadership.
- Manage participant records, registrations, and issuance of CEU certificates for professional development programs.
- Support faculty and staff administrative needs, including scheduling meetings, maintaining calendars, documenting meetings, and coordinating hiring logistics such as interviews and campus visits.
- Serve as a primary point of contact for the Else School with campus partners, external vendors, and community stakeholders.
- Other duties as assigned.
QUALIFICATIONS
- Bachelor’s degree or equivalent combination of education and professional experience
- Demonstrated proficiency with Microsoft 365 (Teams, Outlook, Excel, Word, SharePoint)
- Strong organizational and project coordination skills with the ability to manage multiple programs and deadlines simultaneously
- Experience with financial processing, invoicing, or budget tracking
- Excellent written and verbal communication skills
