Job Description
This position is in the Contracts Group reporting to the Contracts Lead and supports activity for various offices and entities. The Counterparty Onboarding Administrator’s primary role is to manage the onboarding of new vendors and counterparties. You will collaborate closely with different stakeholders within Vitol to ensure all required documents have been gathered and approved as part of KYC and onboarding process. In addition, you will be the primary point of contact for inquiries from counterparties and vendors related to onboard Vitol.
Specific job duties include:
- Manage the end-to-end vendor and counterparty process, ensuring all necessary documentations have been collected and verified.
- Update and maintain vendor and counterparty information in our systems while ensuring accuracy and completeness.
- Collaborate with Compliance, Credit and other departments to ensure all required documents have been reviewed and approved.
- Perform an independent callback to counterparty to confirm banking information.
- Assist in the development and maintenance of onboarding procedures and guidelines.
- Work with counterparties and vendors to resolve any discrepancies related to onboarding documents.
- Review and validate W-9 forms and other tax documents to determine appropriate names and withholdings.
- Manage and coordinate the completion of onboarding documents and inquiries Vitol receives.
- Provide weekly updates and reports showing status of counterparty onboarding.
- Make sure all documents, emails and other supporting correspondence are filed in electronic retention system for each trade.
- Responding timely to any internal or external queries.
- Escalate issues to Contracts Lead and Contracts Manager.
- Responsible for updating and maintaining procedures documents.
- Proactively identify opportunities to further streamline process and improve productivity.
- Participate in testing of system and process upgrades.
Qualifications
- Minimum 3+ years relevant experience in onboarding counterparties, preferably in trading or banking environment.
- Conversational Spanish and Portuguese skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Experience partnering with cross-functional stakeholders.
- Capable of effectively communicating with internal and external contacts.
- Proficiency with Microsoft Office Suite programs.
