About the Role
UMe Group is a high-producing real estate team operating under eXp Realty in the Phoenix metropolitan area. Our team leader, Cody Ramirez, is looking for a sharp, reliable, and resourceful Executive Assistant to keep his personal and professional world running at full speed.
This is a high-trust, in-person role with real variety — no two days will look the same. You'll blend personal support with team operations, handling everything from Cody's calendar and investment properties to social media posting and agent onboarding. The right person takes ownership, anticipates needs before they're expressed, and can shift gears without losing a step.
What You'll Do
Personal & Administrative Support
- Calendar & Schedule Management: Own Cody's calendar — schedule meetings, business appointments, and commitments; manage conflicts proactively; send reminders.
- Email Management: Monitor and triage Cody's email; respond to routine inquiries on his behalf; flag urgent matters; keep his inbox organized and actionable.
- Personal Errands & Tasks: Handle day-to-day tasks, vendor calls, research, and miscellaneous errands.
- Investment Property Coordination: Coordinate operational matters across Cody's six residential investment properties, including tenant coordination, HOA correspondence, insurance issues, and maintenance vendor scheduling.
Team Operations
- Social Media: Manage the team's Facebook business page — create and schedule posts using provided content or templates; maintain a consistent posting cadence.
- Event & Meeting Coordination: Coordinate logistics for bi-monthly Zoom calls and team events — update invitations, send reminders, handle venue, invites, and materials. Cody sets the agenda; you handle execution.
- Agent Onboarding: Support new agent onboarding from start to finish — set up Google Workspace accounts, Follow Up Boss profiles, Sisu access, and other team platforms; send welcome communications; coordinate with title and external vendors.
- Email Marketing: Build and send weekly marketing emails to the team database via Constant Contact (2x/week) — create property images in Canva, assemble the email, and send to all three lists.
- Agent Support: Serve as the first point of contact for agent admin and operations questions; redirect sales-related requests to Cody.
- Task Management: Keep tasks, projects, and follow-ups organized in ClickUp; ensure nothing falls through the cracks.
- Vendor Coordination: Coordinate preferred vendors (photographers, sign companies, title reps, inspectors, contractors, and others) on behalf of Cody and the team — scheduling, follow-up, and relationship management.
- Client-Facing Presence: Interact professionally with clients, vendors, and business contacts on Cody's behalf — this role is client-facing and represents UMe Group in every interaction.
What We're Looking For
- 2+ years in an executive assistant, personal assistant, or operations support role
- Organized with strong attention to detail
- High discretion and professionalism; this role involves personal and financial matters
- Experience in social media management (Facebook) and basic graphic design (Canva or similar)
- Proficient with Google Workspace (Gmail, Calendar, Drive); experience with CRM or task management tools a plus
- Excellent written and verbal communication
- Phoenix-area resident with reliable transportation
Compensation & Schedule
Salary: $60,000 – $65,000 annually, commensurate with experience
Schedule: Full-time, Monday–Friday. Occasional flexibility required based on Cody's needs.
Pay: $60,000.00 - $65,000.00 per year
