Our Finance team and looking for a detail-oriented, motivated Assistant Accountant to build a strong foundation in corporate accounting while supporting core financial operations.

What You’ll Do

You’ll play a key role in the day-to-day accounting operations at AMS, with hands-on responsibility across accounts receivable, accounts payable, payroll, and collections.

Accounts Receivable (AR) & Collections

• Prepare and issue customer invoices (fixed fee and time & materials)
• Apply cash receipts and record customer payments in the accounting system
• Maintain AR aging and proactively manage collections process
• Working with practice leaders follow up on outstanding balances to ensure timely payment
• Maintain detailed collection notes, communication logs, and tracking schedules
• Escalate delinquent or high-risk accounts to Controller as needed
• Respond to client billing inquiries and resolve discrepancies

Accounts Payable (AP)

• Process vendor invoices, ensuring proper coding to GL accounts and projects
• Manage approval workflows and maintain supporting documentation
• Maintain vendor records, including W-9 collection and onboarding
• Monitor due dates to ensure timely and accurate payments
• Resolve vendor inquiries and discrepancies
• Assist with client and vendor setup in accounting systems

Payroll & Employee-Related Accounting

• Process bi-monthly payroll in coordination with HR and third-party payroll provider
• Review payroll for accuracy, including wages, deductions, benefits, and bonuses
• Maintain compliance with multi-state payroll requirements, including tax registrations and jurisdictional differences
• Assist with payroll tax monitoring and ensure proper funding of federal, state, and local obligations
• Process benefit-related transactions (401K, HSA, FSA, etc.)
• Maintain payroll schedules and reconciliations
• Support onboarding of employees across multiple states from a payroll setup perspective

General Accounting & Close Support

• Reconcile / match bank and credit card accounts daily
• Prepare schedules and documentation to support month-end close
• Assist with 1099 preparation and compliance filings
• Support project accounting and expense allocation across systems

Qualifications

• Bachelor’s degree in Business, Accounting, Finance, or related field (or equivalent experience)
• 0–3 years of accounting or finance experience
• Strong Excel skills and proficiency with Office
• High attention to detail and accuracy
• Ability to manage confidential information
• Strong organizational and communication skills
• Ability to manage multiple deadlines and priorities

Preferred Experience

• Experience with the following systems is preferred:
• QuickBooks Online or Desktop
• Ruddr or similar Professional Services Automation software
• PayDay Payroll or similar third-party payroll platform
• Expense management platforms (e.g., Brex, Ramp, Expensify)

Pay: $70,000.00 - $75,000.00 per year
