Administrative Construction Assistant Job Description

The Administrative Construction Assistant provides administrative and office support to the Construction Management Team. This position assists with coordinating daily construction activities, maintaining project records, tracking paperwork, emails, communicating with Vendors, Client and Subcontractor’s Administrators to ensure projects stay organized and on schedule.

Essential Duties and Responsibilities

· Provide administrative support to the Management Team.

· Maintain project files, records, contracts, work orders, and other construction documents.

· Assist with preparing and organizing daily reports, invoices, purchase orders, correspondence and other paperwork.

· Communicate with employees, subcontractors, vendors, customers, and office personnel.

· Receive and respond to telephone calls, emails, and general inquiries.

· Enter and maintain information in company computer systems and spreadsheets.

· Maintain accurate records of employees and project-related documentation.

· Assist with preparing reports and correspondence.

· Help monitor project deadlines and follow up on outstanding paperwork or documentation.

· Perform general office duties, including filing, scanning, copying, and organizing documents.

· Maintain confidentiality of employee, company, and project information.

· Perform other administrative duties as assigned.

Qualifications

· High School Diploma or equivalent required.

· Previous administrative or office experience preferred.

· Construction industry experience is a plus.

· Proficient in Microsoft Office, including Word and Excel.

· Strong organizational and communication skills.

· Ability to manage multiple tasks and meet deadlines.

· Strong attention to details and accuracy.

· Ability to work independently and as part of a team.

· Professional and dependable with good follow-through.

· Ability to maintain confidential information.

Preferred Experience

· Experience working with construction companies, contractors, or subcontractors.

· Familiarity with construction terminology.

· Experience in preparing reports and tracking documents.

Work Environment

This position is primarily office-based but may require occasional communication with or visits to construction sites. The employee must be able to work in a fast-paced environment and adapt to changing project needs.
