INTRODUCTION
James Madison University is accepting applications for a full-time Associate Director of Clinical Services. The Associate Director is a member of the IIHHS Leadership Team, overseeing and facilitating the operations and functioning of nine clinics housed within the College of Health and Behavioral Studies (CHBS).
ROLE AND RESPONSIBILITIES
Duties include:
- Be a collaborative leader for IIHHS and IIHHS Clinical Services.
- Meet with IIHHS Director once a week and attend and participate in IIHHS Leadership Team meetings.
- Provide leadership for IIHHS Clinical Services infrastructure, staffing, clinical operations and policy concerns.
- Convene a monthly Clinical Services meeting that includes all Clinic Directors, and the Clinical Billing staff.
- Supervise the Billing Specialists, Billing Coordinator, and Program support positions.
- Supervise CDC Director, meet with CDC Director once a month, and attend clinic staff meetings once a month or as schedule allows.
- Facilitate the transition of the clinics and the Clinical Billing Office to the use of Medicat, the Electronic Medical Record and support the ongoing management and use Medicat in the clinics.
- Attend monthly clinic budget meetings to facilitate communication and clear processes agreed upon by clinic directors and clinical billing/budgeting staff.
- Meet with Clinic Directors on a monthly basis and relevant Academic Unit Heads as needed.
- Prepare Clinic infrastructure contribution agreements and meet with Clinic Directors to discuss this.
- Prepare annual MOU for Suitcase Clinic between IIHHS and relevant academic department.
- Facilitate annual completion of the Clinic Checklist for each Clinic which ensures all documentation for clinic operations is current and complete.
- Maintain and update clinical services website, clinical services Canvas site, and any platforms where shared documents and data are stored.
- Facilitate shared infrastructure and things held in common by all clinics (e.g., clinic space, medical records management, HIPAA training, panic alarm system (part of the larger emergency preparedness work shared by clinics), VALT system, medical record off-site storage, infection control policies and procedures, foundational Clinical Services Policy and Procedure Manual, shared Canvas platforms, etc).
- Facilitate the development of new clinics that create opportunities for student training while offering needed services in the community. Such clinics are typically initiated by faculty with consent of the AUH.
- Prepare annual report for clinical services that is incorporated into the IIHHS Annual Report.
- Facilitate requests for data gathering from all clinics (e.g., Annual risk management malpractice coverage assessment).
- Collaborate with JMU Legal Services on regulatory and legal concerns associated with clinical services.
- Be available to represent clinical services for initiatives and task groups that support all clinics (e.g., planning for HBS 2).
- Facilitate use and needs of clinic spaces, including The Health Place, including monitoring panic alarms and annual alarm checks.
- Promote and foster a culture of care and belonging for all members of the workplace community.
- Participate in the University HIPAA Committee.
BASIC QUALIFICATIONS
Successful candidates will have:
- A graduate degree in Psychology, Nursing, Social Work, or health-related field.
- Experience in administration of clinical and/or community-based programs.
- Supervisory experience.
- Experience building and maintaining professional relationships with community partners.
- A commitment to sustaining and growing clinical services in line with the needs of the College and the community.
- The ability to create new systems and processes for successful collaboration.
- A commitment to advancing and promoting a culture of belonging.
- Knowledge of fiscal management with an understanding of clinical administrative needs.
- The ability to organize and analyze data, compose correspondence, and prepare reports independently.
- Excellent oral and written communication skills and excellent interpersonal skills.
- The ability to communicate with a high level of professionalism with both internal and external stakeholders.
- A demonstrated ability to work independently and as part of a team, with excellent organizational and time management skills.
- Competency in Microsoft Excel, Word, Teams and Outlook.
