Job Summary:
Cary Medical Center is seeking a highly organized and detail-oriented Human Resources Assistant to support the daily operations of the Human Resources, Employee Health Department, and Volunteer Services. The ideal candidate will have strong administrative and interpersonal skills, and the ability to handle confidential information with integrity and professionalism. This role plays a key part in ensuring the smooth functioning of HR, Employee Health, and Volunteer services that support our staff and organizational goals.
Essential Duties:
Human Resources Responsibilities:
- Provide administrative support to the Human Resources department, including answering phones, scheduling meetings, and maintaining files.
- Assist with onboarding processes including new hire documentation, orientation coordination, background checks, and employee file creation.
- Maintain and update employee records in compliance with HR policies and regulatory standards.
- Track and maintain licensure, certification, and training records to ensure staff compliance with hospital and regulatory requirements.
- Prepare reports and documentation as needed for audits, compliance, and internal tracking.
- Help maintain HRIS and database systems with accurate and timely data entry.
- Assist in organizing staff events, recognition programs, and employee wellness initiatives.
- Support the Employment, Benefit and Talent Specialist staff by assisting with clerical type duties.
- Perform other duties as assigned by HR leadership.
Employee Health Responsibilities:
- Assist the Employee Health Nurse with administrative and clinical tasks related to employee health, including pre-employment screenings, immunization tracking, and maintaining databases.
- Handle administrative tasks for onboarding, including creating health files, obtaining required health documents, scanning and data entry into applicable Employee Health databases.
- Maintain accurate and confidential employee health records in compliance with hospital policies, HIPAA, OSHA, and other regulatory requirements.
- Schedule and track appointments for new hire evaluations, vaccine administration, respiratory fit testing, and follow-up visits.
- Assist with data collection and reporting for infection control as needed.
- Communicate effectively with employees regarding appointments, test results, follow-ups, and required documentation.
- Collaborate with Human Resources, Infection Prevention, and other departments to ensure completion of employee health requirements.
- Perform other duties as assigned.
- Comply with local, state and federal laws and regulations.
Volunteer Service Responsibilities:
- Organizes, coordinates, and manages volunteer services including recruitment and onboarding.
- Maintains and updates volunteer records and tracks volunteer time.
- Develops and implements volunteer training education.
- Coordinates and attends volunteer meetings.
- Recommends and develops ongoing volunteer utilization.
- Develops and implements volunteer recognition program.
Availability Requirements:
- Mostly day shifts, Monday-Friday, occasional weekends or evenings.
Education, Skills, Experience Requirements:
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 1-2 years of administrative experience, preferably in a healthcare or HR setting.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HRIS systems (preferred).
- Strong verbal and written communication skills.
- Exceptional attention to detail and ability to manage multiple priorities in a fast-paced environment.
- Discretion and confidentiality are essential.
