Job Description Summary: The Human Simulation/Simulated Participant Program Manager reports to the HSSC Executive Director. This position has the primary role:
Simulated Patient (SP) Program Management– provides oversight and leads the SP recruitment, scheduling, contracted payment process, communications, orientation, and training processes for SPs across all HSSC campuses.
Assists the HSSC Executive Director with upholding the Human Simulation Accreditation standards and alignment
DUTIES AND RESPONSIBILITIES include the following:
Simulated Participant Program Manager (80%)
Collaborates with the Executive Director on the development and oversight of Simulated Participant (SP) Policies and Procedures.
Leads and manages the recruiting efforts to engage and create a larger pool of SPs of various demographics across the four SMU campuses.
Leads and manages the hiring, onboarding, and scheduling of SPs for the SMU campuses.
Maintains the SP database with contact information, demographics, and images of SPs for the SMU campuses.
Creates a standardized SP training program for the onboarding of SPs with materials that align with best practices.
Manages and leads SP retention and engagement strategies to demonstrate value. Produces and manages the contracts for payment of all SPs.
Creates and assists with the facilitation of faculty training related to best practices and expectations, and best practices related to SP training to ensure consistency across programs and SMU campuses.
Creates standardized SP training materials in alignment with best practices. Collaborates with faculty to schedule SP training sessions using standardized communication templates.
Assists with the virtual training of SPs for complex (highly sensitive, high stakes, etc.) scenarios and assists with SP training as determined in collaboration with the Sim Educators. Addresses SP questions about the scenario before the event.
Collaborates with faculty to develop and design SP scenario scripts to align with standards of best practices. This may include reviewing SP scenario scripts for common language and unfolding cues before shared with SPs. Creates standardized communication templates to ensure consistency in SP communication for the day of the event, including logistics, meals, scenario script, and SP training details.
Manages the purchase of lunch for SPs according to our policy for the SMU campuses with P-card reconciliation according to SMU policies.
Manages grievances or other issues that arise related to SP engagement. Assists when able with the post-sim event debrief sessions, which focus on input from SPs as well as feedback about the experience.
Reviews and shares the SP Feedback Form comments with the HSSC Sim Educators and program faculty.
Tracks data for SP feedback themes that relate to HSSC and reports to the Executive Director.
Prepares and provides updates for meeting agendas, coordinates meetings for the SP program, and updates the HSSC team for SP events.
Tracks and documents all SP activities for budget and utilization data reporting.
Leads and coordinates SP development and engagement activities, which may include Newsletters, Gratitude board, Scenario scripting feedback, etc. Operates all technical resources, including Educational Management Solutions (EMS), to assist with the facilitation of complex simulation utilizing SPs as needed.
Facilitates educational and simulation scholarship activities.
Demonstrates flexibility and adaptability by being prepared to step in as a SP if cancellations occur or additional SPs are needed.
Attend HSSC staff meetings.

Upholding the best practices that relate to human simulation (20%)
Leads the planning for and maintenance of data for the accreditation requirements for Human Simulation.
Ensures simulations using SPs are facilitated using the standardized HSSC SP process when working with SPs.
Onboards faculty and HSSC team members to the standardized HSSC SP process to ensure consistent practices and alignment with best practices. Creates and provides SP best practice continuing education opportunities for SPs, HSSC team, and SMU faculty.
Leads and collaborates with the HSSC Executive Director in the application submission process for the Society for Simulation Accreditation for Human Simulation.
Respond to inquiries regarding the SP Program for all SMU campuses. Collaborate with the HSSC Director of Operations and Simulation Educators in creating, administering, and facilitating the SP training program for all SMU campuses.
Assists with quality improvement initiatives for HSSC and work with simulated participants. Primary point of contact with the SP’s on all campuses.

MINIMUM QUALIFICATIONS
EDUCATION & EXPERIENCE:
Baccalaureate degree required
1+ years of experience coaching or mentoring others
1+ years of previous experience working with standardized or simulated participants
1+ years of supervising experience preferred.
Intermediate experience with the latest version of Microsoft productivity tools such as Word and Excel
Demonstrated ability to effectively navigate the Internet and library databases as a resource and research tool
Demonstrated commitment to service excellence

Demonstrated good judgment and critical thinking skills to make suggestions regarding efficiencies and effectiveness and to solve daily problems.
