INTRODUCTION
In an environment of continuous quality improvement, the Practice Management Supervisor, Clinic Operations is responsible for establishing and implementing strategies and tactics that will develop and continually enhance the business and market leadership of MHS in conjunction with MHCPI leadership. This position will be accountable for executing business strategies to increase volume, revenue and MHS's overall market share. The Practice Management Supervisor, Clinic Operations develops and directs projects in conjunction with physicians, hospitals, ambulatory sites, other entities and outside management companies/consultants that target growth through volume, revenue, patient satisfaction and quality performance. Exhibits the MHS Standards of Excellence and exercises strict confidentiality at all times.
JOB FUNCTIONS:
- Collaborates with Director and Quality Department to improve quality, ensure patient safety and satisfaction, and manage financial performance.
- Provides daily leadership of physician clinics and respective departments.
- Oversees the general operations of the physician clinics including purchasing, performance evaluations, payroll process, and practice management.
- Collaborates with Director to achieve efficiency and effectiveness of daily clinic operations.
- Implement and validates standard work to ensure effective clinic/physician utilization and patient throughput.
- Monitors and reports physician RVU, financial and productivity performance against benchmarks to leadership and physician practice providers.
- Implements practices that maximize physician productivity and minimizes variance from budget.
- Implement and directly oversees cost-effective systems for the delivery of quality patient care and appropriate utilization of resources.
- Works directly with HIS and business analysis staff to assist with billing/coding compliance and education for clinics.
- Implements action plans to correct deficiencies, create efficiencies or improve financial operations.
- Provides leadership and direction to outpatient clinical departments and physicians to ensure ongoing compliance with licensing and accreditation requirements.
- Utilizes evidence-based practice when available and communicates standards for its use in all policies, procedures, guidelines and education.
- Leads and implement ongoing quality improvement within the physician clinics.
- Complies with applicable state and federal statues, regulations and policies within the organization to ensure administration and operational objectives are met, safe patient care practices are followed and identifies operational business risk issues.
- Maintains strong provider relations through open communication and collaboration.
- Assist in the start-up of new practices in cooperation with leadership and other appropriate personnel.
- Serves as liaison between assigned departments and other hospital departments.
- Promotes a culture of customer service and patient-centric processes, operations, and care.
- Fosters patient relations standards that reflect excellence and ensures all employed physicians and staff members are held accountable for adhering to these standards.
- Implements clear, accurate, and actionable key performance indicators and is responsible for managing departmental staff toward achieving top-decile performance.
- Ensures all staff members understand their roles in accomplishing programmatic objectives.
- Works collaboratively with Clinical Nurse Manager on developing formal and informal competency-based orientation and ongoing education programs to meet the identified needs of the clinical and nursing staff.
- Travels between assigned sites as needed to meet job expectations.
- Completes and conducts employee performance evaluations based on direct observation of their employee’s job performance.
- Ensures readiness of staff, equipment and supplies for daily operations and emergencies.
- Manage practice personnel effectively and practically by providing adequate and cost-effective staffing at practices including paid time off approval, coverage and call schedules.
- Interview, hire, orient, supervise, evaluate, and direct medical practice support staff in conjunction with the practice administrator and/or medical director.
- Maintains record of physician’s time off and continuing medical education time and expense allocations per contract.
- Maintains records/logs on staff annual competencies, education, orientation, absenteeism, etc. and assure compliance with system policies, personnel policies, and other appropriate policies, standards.
- Coordinates activities for new and departing providers, including but not limited to collaboration with marketing, physician recruitment, and IT.
- Has the authority and responsibility to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, discipline, direct, or recommend such actions by using independent judgment.
- Granted authority to perform the supervisory duties and are held accountable for performing such duties.
- Assumes all other duties and responsibilities as necessary.
MINIMUM EDUCATION/EXPERIENCE REQUIRED:
Bachelor’s Degree in Business Administration or related health field required.

- Demonstrated leadership skills.
- Excellent verbal, presentation and written communication skills.
- Ability to get along well with a variety of personalities and individuals, to influence others to perform their jobs effectively and to be responsible for making decisions, and to find solutions for or to deal proactively with work-related problems.
