Job Overview
SFM is seeking a proactive, highly organized professional to join our New York office as a Receptionist and Office Assistant. The Receptionist provides comprehensive front-of-office and administrative support, serving as the first point of contact for the firm and playing a critical part in shaping the experience of visitors, colleagues, and partners. The role sits within the facilities team, working closely and collaboratively with employees across the organization, including the C-Suite level, contributing to the smooth day-to-day operations of the office. Major Responsibilities
- Reception and front-of-house operations
- Serve as the primary point of contact for all visitors and callers; professionally welcome guests, field inquiries, and manage visitor registration and security protocols
- Oversee calendars and physical readiness for conference rooms and shared spaces, including meeting reservations, setup, basic technology, refreshments and catering
- Manage and order inventory for the reception area, supply room, and pantry by liaising with food services, mailroom, and cleaning professionals
- Administrative and executive support
- Provide coverage for Executive Assistants and administrative staff, including scheduling meetings, preparing materials, greeting high-level guests, and handling time-sensitive requests
- Assist facilities and security teams with administrative needs such as invoicing, calendar management, new hire facilitation, and internal directory updates

Maintain and update databases and files for vendor contracts, leases, and other facilities documents

Projects, events, and general office support
- Support preparations and on-site logistics for board meetings and key stakeholder events
