Overview
Reporting to the Director of Outreach Business Development, this position will provide day-to-day operational leadership and supervision for the Yale Pathology Outreach program and the Expert Consultation Service. The incumbent acts as the operational pivot point, integrating IT, marketing and logistics to ensure seamless service delivery. You will be responsible for maturing the program’s infrastructure, optimizing program outcome reports, and leading high-visibility outreach initiatives that help drive growth. Direct the project lifecycle for assigned outreach initiatives, utilizing advanced management software to monitor milestones and deliver high-level progress reports. Act as the strategic operational liaison for Pathology ITS, overseeing system access and ensuring infrastructure aligns with outreach program requirements. Manage external logistics partnerships, serving as primary authority for courier dispatch, and resolving complex client logistical challenges. Oversee vendor relations for client requisitions, authorizing modifications and approvals for requisition forms to ensure regulatory and operational compliance. Orchestrate the comprehensive set-up of new outreach clients, managing the deployment of RELAY access, CoPath and customized service protocols if needed. Maintain data governance by overseeing client databases and tracking systems to ensure high-integrity reporting on client issues. Drive client retention and satisfaction by providing high-level escalation support for physician offices and resolving systemic specimen/requisition discrepancies. Manages all timely dissemination of outreach client communication including, but not limited to: SBARS, timely updates to test menus, inclement weather communication, etc. Monitor and optimize the inventory of promotional assets and collateral materials ensuring brand consistency across all outreach channels. Facilitate collaboration between clients and Pathology billing office. Direct end-to-end execution of outreach conference and event initiatives, including budget forecasting, vendor contract negotiations and event assessment for annual schedule. Ensure operational continuity by providing manager-level backup for customer service functions. Synthesize operational data through advanced analysis, translating monthly and daily reports into actionable insights for leadership. Enforce and implement University and departmental policies as they pertain to the administrative function of the unit. Facilitates routine and ad hoc outreach strategy meetings. May perform other duties as assigned.
BASIC QUALIFICATIONS
- Proven ability to build and maintain strong business relationships and promote a positive customer service-oriented culture.
- Ability to perform as a liaison between key stakeholders, vendors, and departmental staff to effectively promote services and new programs offered by the department.
- Proven experience working with data to ensure high quality reporting. Ability to export, sort, and manipulate data to create dashboards. Advanced MS Office 365: Word, PowerPoint and Excel.
- Excellent written and verbal communication skills. Ability to foster a collaborative work environment and adapt to changing and conflicting priorities.
- Excellent analytical, organizational, and problem-solving skills. Ability to triage and troubleshoot problems and identify solutions.

- Background in Business development, Consulting or Healthcare Administration.
- Proficient in EPIC/Beaker, Adobe Creative Cloud.
PRINCIPAL RESPONSIBILITIES
- Performs a variety of activities related to managing the daily operations of a unit including human resources planning, information technology, financial reporting, facility planning, research support, and compliance among other functions for a unit.
2. Administers the administrative and fiscal activities of the assigned unit; serves as liaison between the assigned unit and other University administrative offices.
3. Assigns administrative support to various functions of the unit; monitors activities of staff to ensure timely completion of assigned work.
4. Prepares and monitors budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance.
5. Plans the use of facilities in the assigned department including office space, work stations, equipment, technology needs, inventory, and office supplies.
6. Plans and facilitates training sessions for the department when new policies or practices are adopted.
7. Ensures compliance with University and federal health and safety regulations as they apply to the unit.
8. Initiates, plans and develops administrative policies for the assigned unit.
9. Contributes to long-range administrative planning for the assigned unit.
