POSITION OVERVIEW:
The Heavy Haul Logistics/Dispatch Coordinator is responsible for managing and executing the planning, permitting, dispatch, and transportation of oversized and overweight cargo. This role ensures compliant, safe, and efficient movement of project freight while maintaining communication across teams and partners.
KEY JOB RESPONSIBILITIES:
- Verifies project scope.
- Confirms project requirements.
- Plan load out, routing and delivery sequence of project modules.
- Execute daily dispatch of drivers based on project schedules.
- Coordinate OS/OW permits and ensure compliance.
- Monitor Shipments and resolve delays.
- Creates and uploads necessary paperwork, BOL, PL, CI.
- Maintain continuous communication with drivers, escorts, and field teams during active hauls.
- Organizes and uploads all project documentation to shared drive.
- Manages carrier load tenders in TMS.
- Maintain Accurate Logs and Project Records.
- Support Site Logistics Coordination.
- Processes E-Requester orders for project purchase orders.
- Maintains and receives purchase orders in ERP.
- Verifies carrier invoices and addresses discrepancies.
- Facilitates receipt and verifies condition of project unit modules and at site.
- Provide Real-Time Communication to all stakeholders.
- Troubleshoot in-transit issues and escalate critical risks immediately.
- Any other responsibilities as assigned by TAS.
JOB SKILLS:
- Strong organizational skills.
- Knowledge of Heavy Haul OS/OW regulations and procedures.

EDUCATION & TRAINING:
3-5 Years’ experience in OS/OW Logistics and Dispatch Coordination.
MINIMUM REQUIREMENTS:
- Knowledge of USDOT requirements.
- Knowledge of OS/OW procedures and regulations.
- Strong Organizational and Multi-Tasking Skills.
- Able to walk/stand in steel-toed boots for long distances/ periods of time.
- Ability to work flexible days/schedules - Weekends as needed.
- Read and speak English fluently.
PREFERRED REQUIREMENTS:
- TMS/McLeod Experience.
- Samsara Software Experience.
- Experience in an Industrial/Manufacturing environment.
- Experience with Specialized Transportation Equipment.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Position is at least 80% to 95% at a desk working with computer. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Performs other physical activities including use of fingers, sitting, stooping, bending, crouching, talking, hearing, and performing repetitive motions. Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal, and conduct extensive reading. The incumbent will be subject to inside environmental conditions.
