Key Responsibilities
- Learn and apply internal legal workflows, templates, and procedures through structured on-the-job training.
- Provide administrative support to multiple attorneys and paralegals in all stages of legal matters and departmental workflows, including intake and triage of matters, documentation preparation and management, tracking deliverables, and stakeholder communication.
- Manage and organize matter files within CMS and other legal tracking systems, maintaining documentation and data integrity.
- Assist in fact-gathering efforts, including document collection and organization, summarizing information, and preparing materials for attorney review.
- Support subpoena and administrative agency responses (DOI, EEOC, DOL, etc.).
- Execute defined legal workflows according to internal procedures with guidance from supervising attorneys or paralegals.
- Conduct basic factual and legal research under attorney or senior paralegal guidance and organize findings into a logical and usable work product.
- Escalate issues, risks, or missing information to appropriate team members.
- Support standardized, templated contract workflows with supervising paralegal oversight and provide general contract lifecycle support (signature coordination, proofreading, archiving, etc.).
- Assist with legal billing operations by reviewing and processing invoices, and coordinating vendor onboarding and supplier setup in the company’s accounting system for new outside counsel engagements.
- Perform additional case-related and operational support tasks as needed.
Experience and Education
Bachelor’s degree or Paralegal Certificate required. No prior legal experience required; internship, externship, or academic legal experience a plus.
Qualifications
- Exceptional attention to detail, including strong proofreading, grammar, and editing skills, with a high degree of factual accuracy.
- Exposure to or foundational interest in legal terminology and practices; willingness to learn professional legal standards.
- Must be responsive and self-motivated, with the ability to perform effectively in a fast-paced, dynamic legal environment.
- Strong critical thinking and problem-solving skills, with the ability to manage ambiguity and exercise sound judgment.
- Strong written and verbal communication skills, with the ability to collaborate effectively and professionally across departments.
- Able to manage multiple assignments with guidance and support from senior team members.
- Ability to follow established procedures and contribute to process consistency and documentation across recurring workflows.
- Proficient in Microsoft Office Suite and Adobe, and ability to conduct internet research; willingness to learn internal LMM and CLM tools.
