INTRODUCTION
The Program Coordinator II for Orthodontics and Pediatric Dentistry reports to the Program Manager of Pediatric and Orthodontic Dentistry. This role provides comprehensive administrative and academic support for undergraduate educational programs within Pediatric Dentistry and Orthodontics. They are responsible for coordinating course administration, including syllabus management, learning management system maintenance, examination administration, grade reporting, and student communications. They also support Course Directors in the delivery of curriculum, monitoring of course requirements, and tracking of educational outcomes to promote student success and ensure compliance with institutional and accreditation standards. Further, the role is responsible for maintaining the accuracy and integrity of academic records across multiple educational platforms while serving as a key resource for faculty, students, and academic leadership in support of effective program operations.
ROLE AND RESPONSIBILITIES
30% Undergraduate Division Duties-Peds & Ortho
- Responsible for the preparation, review, and alignment of syllabi for undergraduate courses and for providing administrative support for course delivery and academic operations.
- Administers and maintains course content within Brightspace, including uploading and formatting lectures, managing grade calculations, tracking course activities, and communicating with students regarding course materials and requirements.
- Supports Course Directors by verifying clinical block assignments, monitoring completion of course requirements, tracking educational outcomes, and providing administrative assistance to enhance student’s learning and experience.
- Coordinates examination administration by formatting, uploading, and maintaining examinations in ExamSoft and other designated systems, monitoring online examination activity, coordinating make-up examinations, proctoring students with approved accommodations, and maintaining accurate exam records.
- Responsible for entering and maintaining grades in Anthology, scheduling students for the orthodontic elective course, and ensuring the accuracy and integrity of academic recordkeeping.
- Provides additional support to Course Directors and academic leadership as needed to ensure effective course administration, student success, and compliance with institutional and program requirements.
30% General Administrative Support
- Assists with calendar management for Division faculty and residency programs.
- Assists with tracking of certifications and licensure for the Division’s faculty.
- Manages leadership calendars as needed.
- Maintains University timekeeping system for attending faculty to include processing and entry of all leave requests and time corrections as well as tracking of available and accrued leave.
- Provides program directors and other College leaders as appropriate with holiday calendar for leave requests and other special calendars requesting peak leave requests.
- Ensure proper authorization is obtained and all MUSC, Departmental, HR and Payroll Policies are followed in regards to leave.
- Assists with calendar management and schedules for Pediatrics and Orthodontics.
- Provides administrative support for Division faculty and residency programs through calendar management of both residency programs and leadership and scheduling coordination.
- Tracks and maintains faculty certifications and licensure records to maintain compliance.
- Assists with timekeeping activities, including processing leave requests, time corrections, and monitoring available and accrued leave balances in accordance with University, departmental, Human Resources, and Payroll policies.
25% Postgraduate Program Support-Peds & Ortho
- Partners with Program Directors, Program Manager, and other stakeholders to support residency recruitment, selection, and interview processes for Pediatric and Orthodontic Dentistry Residency programs.
- Coordinates and administers onboarding and orientation activities for incoming residents, ensuring a seamless transition.
- Maintains resident and program data within designated systems and records, ensuring accuracy and timely reporting.
- Supports compliance with accreditation and regulatory requirements by maintaining records, monitoring documentation, and assisting program leadership in adhering to Commission on Dental Accreditation (CODA) standards and other applicable program requirements.
- Process resident leave requests while updating leave balances and providing Program Leadership with updated totals monthly.
- Coordinates and tracks resident leave requests, maintains accurate leave balances, and provides regular reporting to Program and College leadership.
10% Fiscal
- Provides administrative support for procurement activities within the Division, including processing reimbursements for faculty and residents under the direction of the Program Manager.
- Assists with purchases of equipment, educational materials, and other operational supplies, ensuring adherence to institutional policies and procedures.
- Supports the administration of Foundation expenditures and reimbursement processes as needed while maintaining accurate documentation and records.
5% Miscellaneous
- Serves as the primary backup to the Program Manager, ensuring continuity of operations and administrative support during periods of absence or increased departmental need.
- Supports special projects as assigned, coordinates project-related activities, and provides additional operational, administrative, and programmatic support to the Division and department.
BASIC QUALIFICATIONS
A bachelor's degree and two years relevant program experience.
