ROLE AND RESPONSIBILITIES
The Training Coordinator is responsible for planning, coordinating, managing, and executing all logistical and administrative, and operational aspects of new team member orientation activities, organizational learning, leadership development, training programs, and workshops. This role serves as the operational backbone of the Learning and Organizational Development function, ensuring learning events are delivered seamlessly, participants have an exceptional experience, and programs are executed efficiently from planning through evaluation. This role provides the operational support necessary to scale and sustain organizational capability-building efforts.
The Training Coordinator partners closely with Learning & Organizational Development professionals, subject matter experts, leaders, and external vendors to coordinate training schedules, manage registrations, maintain learning records, support learning technologies, and oversee all event logistics.
The expectation is the role will successfully execute and problem solve for each of their duties with minimal oversight, guidance, and support. The role requires exceptional organization, attention to detail, initiative, problem spotting/solving, customer service, and the ability to seamlessly manage multiple priorities in a fast-paced healthcare environment.
The successful candidate for this position must reside in CT, MA, or NY.
New Team Member Orientation Administration-50%
- Act as the single point of contact for all logistics and operational aspects of New Team Member Orientation
- Partner with HR Onboarding Team to ensure a seamless onboarding process for new team members.
- Coordinate all administrative and logistical aspects of new employee orientation programs.
- Manage orientation schedules and participant enrollment.
- Partner with Human Resources, operational leaders, and subject matter experts to ensure timely orientation delivery.
- Prepare onboarding materials and orientation resources.
- Track attendance and completion requirements for new hires.
- Support continuous improvement of onboarding processes and participant experiences.
Learning Program & Event Coordination-20%
- Coordinate the logistics and administration for leadership development programs, organizational learning initiatives, workshops, seminars, and training events.
- Develop and maintain annual training calendars and event schedules.
- Manage participant registration, enrollment, attendance tracking, and communications.
- Coordinate room reservations, virtual meeting platforms, audiovisual requirements, catering, materials, and supplies.
- Prepare training materials, participant packets, agendas, evaluations, name badges, and related resources.
- Serve as the primary point of contact for participants before, during, and after learning events.
- Ensure a professional, welcoming, and engaging learning experience for all participants.
Operational & Administrative Support-10%
- Provide administrative support related to learning events to Sr. Learning & Organizational Effectiveness Consultants
- Manage program budgets related to learning events and monitor expenditures.
- Process invoices, purchase requests, and vendor payments in accordance with organizational policies.
- Coordinate contracts, scheduling, and logistics with external training vendors and facilitators.
- Maintain inventories of training materials, supplies, and resources.
- Develop and maintain standard operating procedures, templates, and administrative processes.
Learning Management System (LMS) & Records Management-5%
- Administer learning registrations and course assignments within the Learning Management System.
- Maintain accurate training records, participant rosters, completion data, and learning transcripts.
- Generate reports on participation, completion rates, and program metrics.
- Monitor compliance-related learning requirements and assist with follow-up communications.
- Support LMS troubleshooting and respond to learner inquiries.
Stakeholder & Customer Service Support-5%
- Provide responsive customer service to learners, leaders, facilitators, and organizational partners.
- Communicate training schedules, updates, reminders, and event information effectively.
- Build collaborative relationships with internal departments and external partners.
- Support facilitators and presenters to ensure successful program delivery.
Program Evaluation & Continuous Improvement-5%
- Administer course evaluations and participant feedback processes.
- Compile learning participation and satisfaction data.
- Identify opportunities to improve efficiency, participant experience, and operational effectiveness.
- Recommend process improvements to strengthen learning operations.
Performs other job-related duties as assigned.-5%
BASIC QUALIFICATIONS
Education and/or Experience Required:
- Education: Associate degree in Business Administration, Human Resources, Education, Organizational Development, Healthcare Administration, or a related field.
- Experience: 2 years of experience in training coordination, learning administration, event coordination, or a related field.
PREFERRED QUALIFICATIONS
Education and/or Experience Preferred:
- Education: Bachelor’s degree in Business Administration, Human Resources, Education, Organizational Development, Healthcare Administration, or a related field.
- Experience: LMS experience
