INTRODUCTION
We are looking to hire an exceptionally passionate, multitasking and detail-oriented individual that is self-motivated and experienced in supporting a transportation team with daily administrative tasks.
ROLE AND RESPONSIBILITIES
What will your job involve?
- Maintain inter-departmental communication between our plant operations, sales, and field operations teams
- Using Nextraq, logs and other documents, track and monitor driver activity, i.e. excessive stop times, excessive idling, excessive speeding, etc.
- Work with administration and production staff to ensure accurate and efficient creation of manifest
- Co-ordinate scheduled vehicle servicing and rectification of equipment issues to improve vehicle performance as required
- Conduct regular vehicle inspections to ensure compliance with roadworthiness, vehicle cleanliness and appropriate driver operation
- Prepare and print memorandums for effective driver communication
- Maintain Key Performance Indicators measures (EG: Spreadsheets) (Note these items to be defined)
- Analyze route efficiencies to ensure optimum cost savings achieved
- Be pro-active in assisting with the development of safe work practices
- Responsible for ensuring driver compliance with Occupational Health and Safety legislation and principles and rectify any non-conformance or matters of concern regarding Health and Safety and Environmental matters
- Ensure minimal errors are made and high quality of customer service delivered
- Responsible for the quality assurance of smart containers being unloaded and loaded into trucks pre and post trip
- Ensure accuracy of orders: must review all load sheets and ensure quantities are correct prior to shipping in accordance to customer requirements
- Assist in implementing new processes, procedures, and guidelines to ensure quality and cost control
- Support projects related to the improvement of logistics processes
- Monitor commercial drivers’ Hours of Service and maintain DOT compliance
- Monitor and answer daily emails with vendors and customers
- Assisting the Transportation Supervisor with any projects and tasks needed
- Working 50+ hours per week
BASIC QUALIFICATIONS
Requirements:
- 2+ years’ experience of Transportation Support and/or dispatch experience
- At least 6 months of box truck driving experience
- High School Diploma or equivalent (GED) required
- Strong attention to detail and ability to multitask
- Strong verbal and written communication skills
- Good understanding of transportation/logistics practices and procedures
- Knowledge of best practices for customer needs assessments, meeting quality standards for services, and evaluation of customer satisfaction
- Willingness to be a strong team player and contribute to a positive work environment
- Knowledge of Microsoft Office applications, including Word, Excel, and Outlook

- Identify HOS Issues

- Daily Management of FADV
- Notify Supervisors of expiring items
- Work with drivers on updates to complete Admin work

- Plates/Registration
Fleet Maintenance
- Vehicle Repair updates in TMS system (Fleetio today)
Samsara
- Daily Route Check @ noon
- Updates Supervisor of any delays
Cornerstone
- Daily Admin Tasks
- Review training schedules with planning Supervisor
- Schedule Drivers for training
- Assist Supervisors with training updates/materials
- Upload 15-day training log
Daily Routes
- Organize office files
- Print packing slips
- Update Driver notes on stops
- Ensure all notes are accurate and current to the customers’ needs
Salesforce
- Case Management
- Update cases
- Work with Supervisors on DHCSM cases
- Assist Supervisors and Managers as needed
