JOB DESCRIPTION
The Consumer & Community Bank Event Strategy Center of Excellence provides consultation, planning, execution and analysis of events that support Consumer & Community Bank overall, as well the Consumer & Community Bank lines of business and primary functions.
As a Communications Associate within Consumer & Community Bank you will support the Event Strategy Center of Excellence with event strategy, planning and execution for large-scale events for the Consumer Banking line of business in partnership with the Consumer Banking lead for the team. You will work closely with members of the Communications team for this business unit to support Branch/Financial Center openings, Market/Site visits, Senior Leader events, Town Halls, and more. We are looking for a poised, flexible team player with strong executive presence, who is an experienced event planner and is comfortable multi-tasking in a creative, fast-paced and high-profile environment.
Job responsibilities
- Act as the first point of engagement for Executive Communicators when the business plans an event
- Demonstrate a strong understanding of business goals and budget constraints, creating event strategies that support organizational objectives while adhering to approved budgets
- Exhibit strong executive presence when engaging with senior leaders and stakeholders, representing the organization with professionalism and confidence
- Conduct event management tasks from start to finish including maintaining event calendar and budgets, negotiation with vendors, ordering signage and print orders, invoice processing, production and shipping of event materials
- Manage event staff onsite which includes speaker management, coordination with vendors, registration desk management, distribution of materials, oversight of presentations/AV needs, etc.
- Coordinate registration, accommodations, dining and other event logistics for smaller executive offsites or market visits
- Engage our internal partners at the firm for larger scale conferences/events including the Meetings & Events Team, Conference Center Planners, Technical Production/AV & Live Streaming Teams
- Manage project plan and develop detailed run of show based on event agenda
- Look for ways to enhance the overall event experience and continue to come up with fresh, innovative ideas for internal events
- Coordinate post-event tasks such as final data management and event debrief documents
Required qualifications, capabilities, and skills:
- 3+ years prior experience in event management related activities
- Excellent verbal, written and interpersonal communication skills
- Ability to liaise with senior leadership
- Demonstrate strong organizational skills and effectively manage multiple priorities in a high-profile environment
- Ability to prioritize tasks and communicate clearly amongst a variety of personalities
- Proactive by nature and comfortable working in a fast-paced setting with tight deadlines
- Advanced MS Office skills
- Ability to cultivate relationships in the firm across various functions and lines of business
- Eager to learn, contribute and make an impact
- This position may require working outside of regular business hours and approximately 25% of travel on average
Preferred qualifications, capabilities, and skills:
- Experience with registration and event systems/websites
- Bachelor’s degree in communications, hospitality or similar discipline
