We are hiring a Clinical Patient Coordinator to fill a unique hybrid role that bridges our clinical and operational sides. This position is split between two areas:
Clinical (approximately 50%): You will assist with cosmetic and regenerative procedures under physician supervision. This includes laser treatments, chemical peels, microneedling, PRP preparation, injectable support, and patient consultations for aesthetic services. You will be trained on our full procedure menu and equipment, including Alma Harmony laser platform.
Patient Experience (approximately 50%): You will serve as the in-person face of our practice, managing patient check-in and check-out, collecting payments, presenting our direct care packages and service pricing, and ensuring every patient feels informed and welcomed. This is not a passive receptionist role. You are an active part of the patient experience, and your clinical background gives you credibility that a traditional front desk person cannot offer.
The exact split will flex based on the daily schedule. Procedure-heavy days lean clinical. Administrative days lean patient coordination. This role starts at 2 days per week with a clear path to 3 days and potential growth into a senior clinical coordinator position as the practice expands.
What You Will Do
Clinical and Procedures
- Assist with cosmetic procedures under physician supervision: laser treatments, chemical peels, microneedling, PRP preparation and application
- Support injectable procedures (Botox, dermal fillers) including patient preparation, documentation, and post-procedure care
- Conduct cosmetic injectable and regenerative procedure consultations with patients, explaining treatment options, expected outcomes, and pricing
- Prepare treatment rooms, equipment, and supplies for procedures
- Maintain clinical documentation, procedure logs, and patient records
- Educate patients on post-procedure care, skincare regimens, and follow-up treatment plans
- Support and conduct hair restoration services including PRP treatments and hair loss consultations
- Help patients understand and commit to treatment plans across multiple visits, including package options
Patient Experience and Front Desk
- Greet patients, manage check-in/check-out, verify insurance and intake forms
- Collect copays, deductibles, coinsurance, and self-pay balances
- Present direct care packages, service pricing, and membership options to patients with confidence
- Navigate price-sensitive conversations with empathy, offering alternatives like telehealth visits, package pricing, or payment plans
- Review charge slips and superbills at check-out to ensure all services are captured
- Schedule follow-up appointments and procedure bookings before the patient leaves
- Record detailed payment notes in our booking system (what was paid, for which visit, date of service)
- Coordinate with our virtual front desk team for seamless patient handoffs
- Assist with product sales (medical-grade skincare, supplements) and product recommendations
Who You Are
Required
- Active LVN or RN license in the State of Texas
- 1+ year of clinical experience, ideally in dermatology, aesthetics, med spa, plastic surgery, or a cosmetic-focused practice
- Experience with or strong interest in cosmetic procedures: laser treatments, chemical peels, microneedling, injectables, or PRP
- Basic understanding of insurance terminology (copay, deductible, coinsurance, in-network vs. out-of-network)
- Comfortable having conversations about pricing, treatment costs, and value with patients
- Warm, professional, and confident communicator
- Tech-savvy and able to learn new systems quickly
- Reliable, self-motivated, and comfortable working independently
- Available 2-3 days per week in-person at our Austin location (Tuesday through Friday)
Preferred (Not Required)
- Experience with injectable procedures (Botox, dermal filler) in a support or administration role
- Experience with PRP preparation and regenerative therapies
- Experience in a practice that handles both insurance and cash-pay/self-pay patients
- Experience presenting or selling treatment packages, memberships, or service bundles
- Interest in integrative medicine, functional health, or regenerative aesthetics
- Bilingual (Spanish/English) is a plus

Most nursing jobs in aesthetics put you in a treatment room all day with no variety. Most front desk jobs give you zero clinical exposure. This role gives you both.
You will be trained directly by a board-certified dermatologist on advanced procedures. You will gain hands-on experience with laser equipment, regenerative therapies, and cosmetic treatments that are hard to access in a traditional nursing role. At the same time, you will build practice management and patient coordination skills that position you for leadership as the practice grows.
This is a small practice where your contributions are visible and valued. We see a focused number of patients and give each one real time and attention. If you want to be part of a team where you matter, where you learn constantly, and where you help build something from the ground up, this is it.
We are growing. This role starts part-time with a clear path to increased hours and expanded clinical responsibilities.
