INTRODUCTION
We are seeking a highly organized and proactive Admin Assistant to support our Residential Excavation department. The ideal candidate will assist with day-to-day administrative tasks, scheduling, and coordination, while also supporting superintendents, estimators, and other managers in the department. This role is perfect for someone who is detail-oriented, a strong communicator, and able to multitask in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Schedule and coordinate meetings for superintendents and managers
- Create digital files and make copies of documents for the department
- Prepare written communications such as memos, emails, and reports
- Maintain and organize filing systems, both digital and physical
- Assist with billing, trucking, and job code tracking as needed
- Provide administrative support to superintendents and estimators, including reviewing timesheets and job codes
- Coordinate with other departments to ensure smooth operation of excavation projects
- Communicate with customers as necessary
QUALIFICATIONS:
- Must type at least 40 WPM
- Bilingual in English and Spanish preferred
- Proficiency in Microsoft Office Suite, particularly Excel and Word at an intermediate level
- At least 1 year of experience working in a professional office environment
- Strong customer service and communication skills
- High-level data entry and accuracy
- Independent reasoning and problem-solving skills
- Must be able to provide proof of identity and right to work in the US
- Ability to pass a drug screening
