INTRODUCTION
As the Executive Assistant to the Senior Vice President and Chief Strategy Officer (CSO), you will provide comprehensive executive-level support and play a key role in the effective day-to-day operations of the Solutions Group, which encompasses Strategy Solutions, Business Development Solutions, Proposal Solutions, Communications Solutions, and Corporate Quality Management Solutions.
ROLE AND RESPONSIBILITIES
Duties include, but are not limited to, the following:
- Provide comprehensive administrative and operational support to the executive by managing a broad range of responsibilities and independently developing and implementing processes to facilitate project management and information flow.
- Conduct market research and gather relevant information, prepare concise summaries, analyses, and reports to support strategic decision-making.
- Serve as a liaison between the executive, internal teams, and external partners.
- Support Proposal Solutions activities, including the production, packaging, distribution, and delivery of proposal responses; administration of internal proposal customer surveys; and coordination of meetings and related logistics.
- Support Quality Management Solutions (QMS) initiatives, including activities associated with ISO 9001:2015 certification, annual employee, client, collaborator, and Board of Directors surveys, as well as employee engagement and focus group programs.
- Support Communications Solutions initiatives, including the development and coordination of IPRO publications, outreach and promotional materials, educational resources, press releases, website content, trade show participation, and social media activities.
- Responsible for coordinating training registrations for both off-site and in-house courses sponsored by the Solutions group and the maintenance of comprehensive training records.
- Coordinate training registrations and maintain accurate training records.
- Provide support for special projects and organizational initiatives.
- Monitor and assist in the triage and management of communications received through corporate email accounts, including IPRO Info and CMS IDR mailboxes.
- Serve as the primary backup to the Special Assistant to the Chief Executive Officer (CEO), providing support to the Executive Group as required.
QUALIFICATIONS
- Excellent organizational and time management skills with the ability to manage multiple priorities, meet deadlines, and maintain strong attention to detail.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and support executive-level activities with minimal oversight.
- Professional and adaptable when working with internal and external stakeholders.
- Strong verbal and written communication skills, with the ability to communicate effectively across all levels of the organization.
- Strong interpersonal skills and the ability to represent the team professionally.
- Demonstrated ability to work independently and exercise sound judgment in managing day-to-day responsibilities with minimal supervision.
- Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, SharePoint, Outlook, and Teams. Experience with Smartsheet, Salesforce, ADP, DocuSign, and Adobe Sign is preferred.
EDUCATION & EXPERIENCE:
- Bachelor’s degree in Business Administration or a related field required.
- Four (4) years of experience supporting a senior-level executives required.
- Prior experience in a healthcare organization preferred.
COMPENSATION
The salary range for this position is $85,000.00 to $95,000.00. Actual salary and/or hourly rate depends on a variety of factors including experience, education, credentials, location, and budget. The salary range listed does not include other forms of compensation or benefits.
