JOB SUMMARY
Under the supervision and direction of the EH&S Department head, the EH&S Assistant primarily performs administrative duties for Institute safety and occupational health programs. This includes database management, record keeping, filing, organization of various EH&S programs and support toward development of department initiatives. Additional technical duties include inspection monitoring of building safety equipment and emergency management coordination support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Coordinate EH&S safety training sessions. Schedule and arrange to maintain compliance with regulatory agencies and update records accordingly.
- Assist with the development and presentation of training sessions
- Coordinate safety and compliance committee meetings, including minute taking
- Facilitate medical surveillance and occupational health program per LJI standards and in compliance with regulations as applicable
- Handle and oversee information related to injury cases with occupational health provider
- Coordinate with HR involving workers’ comp cases
- Assist with procurement, invoicing and budgeting
- Institutional compliance committees administrative support (IBC, IACUC)
- Maintaining confidential employee files
- Assist with the maintenance of departmental policy and procedure documents
- Organization and maintenance of department documents including training records, inspection reports, certifications, permits and fees, accident reports and other department related documents.
- Coordination of records between EH&S office and other Institutional departments as needed
- Additional duties as assigned
LEVELING REQUIREMENTS
0-2 years’ experience in an office or professional environment required. Experience in the EH&S or Occupational Health is preferred. Educational background in scientific or public health strongly desired. Demonstrated ability to effectively organize and prioritize workload.
Excellent verbal and written communication skills. Strong computer proficiency required; experience with database management systems preferred. Proven sound judgement and commitment to customer service. Ability to work independently with minimal supervision. Strong organizational skills required.
