Position Summary
Sandbox Films is an award-winning documentary studio that illuminates the art and beauty of scientific inquiry. Sandbox Films provides creative and financial support for artist-driven documentary projects that explore the world (and beyond) with curiosity, creativity and humanity. As a mission-focused, artist-first nonprofit, Sandbox Films is redefining the documentary genre. Reporting to the Head of Operations & Events, Sandbox Films seeks an Operations Coordinator who will play a key role in supporting the day to day operations of the company, communications, and events. This role requires strong attention to detail and an understanding of how thoughtful operations support the Sandbox Films brand and culture. The Operations Coordinator is responsible for maintaining a welcoming and organized office environment, providing administrative support, assisting with website and social media coordination, creating polished presentations and company assets using graphic design tools, and helping execute company events across the Sandbox slate. This is an excellent opportunity for someone interested in operations, event production, and communications within a creative, mission driven organization. It is a professional operations role that is not structured as a pathway into creative producing at Sandbox Films. For the right person, there are meaningful opportunities to contribute across many aspects of the company. We can only consider candidates who are comfortable working Monday through Friday in our New York office, including occasional after-hours work for company events and minimal travel.
Essential Functions / Responsibilities
- Maintain a welcoming, organized office environment, including grocery ordering, pantry and fridge stocking, supply management, and scheduling office maintenance
- Greet guests, coordinate building access, and manage hospitality including guest lunches, catering for meetings, and internal celebrations
- Set up and break down in-office meetings, screenings, and gatherings
- Design and coordinate practical graphic assets for festivals, events, meetings, and company communications, ensuring visual consistency across platforms using Canva and/or Adobe Creative Suite and PowerPoint
- Run operational errands, oversee mailings and event shipments
- Prepare and submit expense reports for Sandbox leadership
- Provide scheduling and travel coordination support for leadership
- Support planning and execution of company events, screenings, festival activations, as well as day-of support including guest check in
- Maintain the company contact database, press trackers, and related documentation
- Assist with website updates, including posting news, film updates, and event announcements
- Support asset collection for social media planning and scheduling
- Provide additional administrative support as needed
Minimum Qualifications
Education
- Bachelor’s degree or equivalent experience required
Experience
- 2-3 years combined relevant experience in administrative support and event coordination
Relevant Skills And Experience
- Passion for mission-driven work; interest in film and science storytelling is a plus
- Demonstrated ability to support work in fast paced, high visibility settings while maintaining consistency and attention to detail
- Strong research skills and comfort gathering and synthesizing information
- Ability to build clear, polished presentations within established templates
- Proficiency in Canva and/or Adobe Creative Suite; experience with Wordpress is a plus
- Experience scheduling across time zones
- Confidence interfacing with a broad range of stakeholders including artists, venues, vendors, and leadership
- Physical requirements:
+ Must be able to lift boxes at times up to 30lbs while receiving shipments
+ Bending, kneeling, crouching may be on a daily basis as needed to support studio needs
+ This role requires both standing and sitting for long periods of time
- Must be able to work occasional nights, weekends, or holidays when required

Compensation And Benefits
- The full-time annual compensation range for this position is $65,000-$70,000, depending on experience.
