Position Summary
The Onboarding & Compliance Specialist plays a critical role in ensuring a seamless, compliant, and engaging onboarding experience for all new hires in a fast-paced home care environment. This position serves as the primary point of contact for new employees throughout the onboarding process, providing consistent communication, guidance, and follow-up to ensure timely completion of all requirements.
In addition, this role is responsible for maintaining regulatory compliance by managing employee credentials, renewals, and documentation within internal systems, including Workday and WellSky.
Key Responsibilities
Onboarding Coordination
- Manage the full-cycle onboarding process for new hires using Workday.
- Serve as the primary point of contact for new employees, providing high-touch communication and support throughout onboarding.
- Proactively monitor onboarding progress and consistently follow up (“nudge”) to ensure timely completion of all required tasks and documentation.
- Troubleshoot onboarding issues and provide clear guidance to new hires.
Orientation Management
- Create, schedule, and facilitate engaging virtual orientation sessions for new hires.
- Ensure all new employees receive a comprehensive introduction to company policies, procedures, and expectations.
- Maintain orientation schedules and coordinate attendance.
- Continuously improve orientation content and delivery methods to enhance the employee experience.
Compliance & Credential Management
- Track and manage all employee certifications, licenses, and required documentation.
- Proactively notify staff of upcoming expirations and renewal requirements.
- Collect, verify, and upload updated documentation into WellSky in a timely manner.
- Ensure all employee records meet state, federal, and company compliance standards.
- Maintain accurate, up-to-date records across all platforms.
Data & Systems Management
- Accurately input, update, and maintain employee data in Workday and WellSky.
- Conduct regular audits to ensure data integrity and compliance.
- Generate reports related to onboarding completion, compliance status, and expirations as needed.
Employee Engagement & Support
- Provide exceptional customer service to new hires and existing staff.
- Foster a positive onboarding experience that supports retention and engagement.
- Act as a liaison between HR, operations, and field staff to ensure a smooth onboarding and compliance process.
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree in HR, Business, or related field preferred.
- 2+ years of experience in HR administration, onboarding, compliance, or a related role (home care or healthcare environment preferred).
- Experience with HRIS systems (Workday preferred) and scheduling platforms (WellSky experience a plus).
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills with a high-touch, service-oriented approach.
- Strong attention to detail and accuracy, especially with compliance documentation.
- Ability to work independently in a fast-paced, remote or hybrid environment.
Pay Range: $25-30
