POSITION: Admissions and Financial Aid Enrollment Coach
LOCATION: Wayland Baptist University (WBU) – Hawaii Campus
SUPERVISED BY: Hawaii Campus Assistant Executive Director
POSITION CLASSIFICATION: Non-Exempt
POSITIONS SUPERVISED: None
GENERAL RESPONSIBILITIES: The Admissions and Financial Aid Enrollment Coach balances responsibilities between the admissions and financial aid processes. The position assists in the processing and maintenance of undergraduate applications for admissions and financial aid applications tasks. This position provides assistance to academic advisors in regard to the undergraduate admissions processes. Analyzes information provided by students in order to assist and determine academic advising location. Translates or explains information in regard to the university admissions requirements and policies, including students’ financial responsibilities.
SPECIFIC TASKS AND DUTIES:
Application for Admissions:

Monitor online application notifications and run admissions queries in order to communicate with applicants in a timely manner to explain the admissions process, required documentations, and verify accuracy of the information provided by the student.

Monitor and follow up on incomplete online applications for admissions.

Assure all scanned admissions related documents are properly verified in the admissions’ checklist, including periodic communication with students in regard to missing admissions documents. Academic Advisors are expected to assist when students are not properly submitting required admissions documentation.

Verify if new applicants have been on academic probation or suspension in the last five years.

Verify that the application for admissions is for a degree that is offered at WBU Hawaii and that the degree is available to new/returning students (not suspended based on VA 85/15 rule).

Verify if there are missing transcripts that were listed on the Joint Services Transcript, other transcripts’ transfer credit section, or schools listed on the application for admissions. When the application for admissions checklist is complete, verify that the application is moving to the correct workflow for Plainview review and permitting.

Direct questions regarding degree plans and registration to Academic Advisors. Direct questions regarding VA benefits to the VA Benefits Coordinator. Direct questions about military TA to the Site Coordinator for that branch of military service.

Educate students and enforce WBU policies and procedures regarding admissions requirements.

Send Students Permit to Enter Letter via email or mail.

Respond to Request for Information (RFI) inquiries.

Participate in weekly meetings with Assistant Executive Director/Campus Dean regarding progress on admissions items and any additional support needed.

E-mail all WBU Hawaii staff weekly regarding progress on admissions related items.
Financial Aid Office:
-
Advise students and prospective students about financial aid needs in a timely manner which includes loan programs, repayment options, deferments available and indebtedness information.

Assist students with applications and online financial aid services in a timely manner.

Validate provided financial aid information based upon U.S. Department of Education approved methods.

Assist students in identifying sources of financial aid by providing access to sources of financial aid, including grants, loans and scholarships.

Assist the Assistant Executive Director/Campus Dean in developing sources of scholarship funds by providing timely assistance when requested.

Serve on the campus scholarship committee, which selects scholarship recipients and awards scholarships based on available funds and awards criteria.

Set up and maintain completed financial aid files in timely manner without delays to student awards.

Advise students with repayment of loans by maintaining contacts with collections office in Plainview.

Assist with registration by providing virtual financial aid counseling and assist with registration during four registrations.

Assist with the planning of two graduations each year.

Participate in weekly meetings with Assistant Executive Director/Campus Dean regarding progress on financial aid items and any additional support needed.

E-mail all WBU Hawaii staff weekly regarding progress on financial aid related items.

MINIMUM QUALIFICATIONS: A personal statement of Christian faith should be consistent with WBU’s Christian mission.
Education:

Associates Degree is required.

Bachelor Degree is preferred.
Experience and Knowledge:

Two (2) years general office experience with one (1) year of related job experience is required.

Excellent customer service and writing skills.

Excellent communication skills by phone, e-mail, and in person (video conference).

Knowledge of administrative and clerical procedures.
-
Knowledge of Microsoft applications such as Word processing, Outlook, and Excel spreadsheets.

Knowledge managing files/records, designing forms/reports, and other office procedures and terminologies.

Knowledge of personal information privacy policies.

CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and teach at external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
Job Type: Full-time
Pay: $40,000.00 - $43,000.00 per year
