Position Summary
The Marketing Production Specialist is responsible for ensuring a smooth workflow of all projects across the Marketing department. This position maintains, optimizes, and aims to improve upon internal processes to ensure projects meet established deadlines, production procedures, quality standards, and budget requirements. Serving as the gateway for incoming projects, the Marketing Production Specialist partners with a variety of teams – Product Marketing, Web & Digital, Organizational Communications, Community Engagement and Creative Production as well as external vendors to support efficient routing, production, and on-time delivery. This role also maintains the traffic project management system and keeps stakeholders informed of project status updates.
Job Description
PRIMARY DUTIES AND RESPONSIBILITIES
- Maintain and support the project management system to ensure accurate tracking, workflow consistency, and enforcing process adherence
- Effective time and project management, including the ability to track 100+ active projects and manage the logistics of all projects being completed on time
- Monitor team capacity and balance workloads to optimize production efficiency
- Serve as the primary contact for print and mail vendors, including pricing exercises to ensure competitive quotes.
- Coordinate mailing data lists with print vendors, ensuring accuracy, data integrity, and timely execution
- Perform final quality reviews to ensure error-free output prior to production release
- Manage daily deliverables while maintaining accurate and complete records of all active and completed projects within the project management system
- Partner with Compliance to ensure regulatory requirements are met
- Contribute to weekly production status meetings by providing accurate project updates and supporting effective workflow planning
- Foster positive and effective working relationships across teams and manages stakeholder expectations regarding timelines, priorities, and production constraints
- Continuously evaluate and improve traffic workflows, intake processes, and production efficiencies
- Stay current on industry trends and make informed recommendations

POSITION QUALIFICATIONS
Education:
- BA/BS or equivalent combination of education and experience
Experience:
- 5 years of advertising/marketing experience
- Health care and/or not-for-profit experience preferred
- 3+ of advertising agency production and traffic experience preferred
Knowledge:
- Strong background in marketing, advertising, production and/and traffic management
- Demonstrated knowledge of print production and direct mail management processes
Skills:
- Knowledge of production and scheduling management systems, with familiarity in graphics and production terminology and processes
- Working knowledge of print production, direct mail and postage regulations
- Broad understanding of marketing and advertising principles and campaign execution
- Proficient in Microsoft Office Suite, general computer applications, and project management tools
- Verbal and written communication and presentation skills
- Exceptional project management and communication skills
Abilities:
- Highly developed organizational and time management skills, with the ability to manage job schedules and meet tight deadlines
- Strong attention to detail, including proofreading and quality control experience
- Proven ability to manage multiple priorities, adapt to changing demands, and adjust workload as needed
- Excellent communication and interpersonal skills
- Ability to exercise independent judgment and anticipate needs
- Strong relationship-building and stakeholder management skills
- Problem solving skills
