Duties
- Collaborate with clients to understand their event goals, themes, and specific requirements, translating ideas into detailed plans.
- Negotiate contracts with vendors, venues, caterers, entertainers, and other service providers to secure the best terms and value.
- Develop comprehensive event budgets, managing costs effectively while maximizing quality and guest experience.
- Coordinate all aspects of event logistics including venue setup, catering arrangements, entertainment bookings, decoration, and technical requirements.
- Oversee event marketing efforts to promote upcoming celebrations through social media, email campaigns, and community outreach.
- Upsell additional services or upgrades such as premium catering options, themed decorations, or entertainment packages to enhance client satisfaction.
- Manage timelines meticulously to ensure all preparations are completed on schedule and events run smoothly from start to finish.
- Provide exceptional guest services during events by addressing needs promptly and ensuring a welcoming atmosphere.
- Maintain strong communication with clients and vendors throughout the planning process to ensure alignment and transparency.
- Track event expenses and manage managing event budgets diligently to stay within financial parameters.
Qualifications
- Proven experience in event planning, hospitality, banquet management or related fields such as restaurant or hotel operations.
- Strong negotiation skills with the ability to secure favorable contracts and vendor agreements.
- Excellent marketing skills with knowledge of event marketing strategies to attract attendees and promote events effectively.
- Demonstrated ability in upselling services or products to enhance client satisfaction and revenue generation.
- Experience managing event budgets with a focus on cost control without compromising quality.
- Exceptional organizational skills with keen attention to detail and multitasking capabilities.
- Outstanding communication skills for liaising with clients, vendors, guests, and team members seamlessly.
- Technical proficiency in event management software, scheduling tools, and social media platforms.
- Background in catering or banquet operations is highly desirable; restaurant or hotel experience is a plus.
- Ability to work under pressure while maintaining a positive attitude; strong time management skills are essential.
