A Business Analyst Senior serves as the functional requirements lead within Student Success Innovations (SSI), Office of the University Provost. This position complements the expertise of other analysts already assigned to SSI products and focuses specifically on leading stakeholder discovery. The Business Analyst Senior will manage requirements traceability throughout the development and configuration lifecycle, and own the user acceptance testing strategy to ensure that product capabilities meet the institutional standards of ASU’s academic advising and student success operations. The Business Analyst Senior also provides functional guidance and quality oversight to other Business Analysts on the team, ensuring consistency and accuracy across all requirement deliverables.
Within SSI, Business Analysts operate in an integrated model that encompasses both functional requirements leadership and project coordination responsibilities, reflecting the team's structure and the cross-functional nature of its product portfolio.
Given the complexity, scale, and institutional visibility of SSI’s products, this position requires an analyst who can operate with a high degree of independence, exercise sound judgment on scope and priority, and serve as a credible, authoritative voice with internal stakeholders, including academic advising units, colleges, and Enterprise Technology, as well as with our vendors.
Essential Duties:
Requirements Leadership
- Leads academic advising and other student support staff stakeholder discovery sessions to elicit, document, and validate business and functional requirements for product enhancements, configurations, and integrations, using interviews, workshops, surveys, use cases, process descriptions, and workflow analysis.
- Owns requirements traceability throughout the product lifecycle, ensuring all functional requirements are documented, prioritized, and mapped to configuration specifications, vendor deliverables, and acceptance criteria.
- Defines scope and objectives for assigned initiatives and evaluates product configuration options and vendor solutions to ensure alignment with institutional advising, retention, and student success strategies.
- Translates high-level business needs, including advising workflows, early alert processes, appointment management, and case management operations, into detailed functional specifications; communicates requirements and product capabilities to non-technical stakeholders in accessible formats.
- Researches and analyzes product capabilities, release notes, and vendor roadmaps to identify opportunities for expanded use, new module adoption, and improved alignment with institutional needs.
User Acceptance Testing & Quality Oversight
- Owns and leads the user acceptance testing (UAT) strategy for product releases, enhancements, and integrations, including developing test plans, coordinating test execution with advising and student success stakeholders, documenting defects, and verifying remediation before go-live.
- Provides functional guidance and quality oversight to Business Analysts on the team, reviewing requirements deliverables for consistency, accuracy, and completeness.
- Establishes and maintains quality standards for all product requirements documentation and configuration specifications produced by the analyst team.
- Coordinates with Enterprise Technology and vendors on system validation activities, ensuring issues identified during testing are tracked and resolved appropriately.
Product Configuration & Implementation Support
- Supports the configuration and implementation of product modules, including appointment scheduling, kiosk and queue management, case management, early alert and retention campaigns, degree requirements, surveys, and reporting, by documenting functional requirements and coordinating with technical and vendor teams.
- Evaluates new module offerings and product updates; develops functional assessments and recommendations for SSI leadership regarding adoption, sequencing, and institutional readiness.
- Documents integration requirements between product and other enterprise systems (e.g., Salesforce, PeopleSoft SIS, and our LMS Canvas) in coordination with Enterprise Technology.
- Maintains up-to-date functional documentation for product configurations, business rules, and institutional customizations.
Project Management & Coordination
- Manages projects by maintaining project plans, tracking issues and risks, and ensuring tasks are completed accurately and on schedule.
- Creates and maintains project schedules by developing plans and specifications, estimating time requirements, establishing deadlines, monitoring progress, and resolving conflicts.
- Creates and distributes meeting notes, decision logs, and status updates to ensure alignment across SSI, stakeholder units, Enterprise Technology, and the vendor.
Stakeholder Engagement & Liaison
- Serves as the primary liaison between SSI and academic advising, student support staff, colleges, the University Registrar, Enterprise Technology, and the vendor, facilitating communication and alignment across organizational boundaries.
- Facilitates cross-functional decision-making by engaging advising directors, success coaches, academic leaders, and technical partners with clarity and institutional authority.
- Presents requirements, findings, and product recommendations in formats appropriate to the audience, from frontline advising staff to senior academic leadership.
- Leads stakeholder training and product support efforts, including developing user-facing documentation and responding to functional questions about assigned SSI products.
Desired Qualifications:
- Knowledge of ASU’s organizational structure, advising model, and higher education administration.
- Knowledge of products for appointment scheduling, case management, early alert and retention, kiosk management, and reporting and analytics.
- Knowledge of technical writing, process diagramming, and requirements documentation standards.
- Demonstrated experience leading user acceptance testing strategy and execution for enterprise product implementations or upgrades.
- Demonstrated ability to provide functional oversight and quality guidance to other analysts or project team members.
- Demonstrated ability to manage complex, high-visibility projects in environments subject to tight deadlines and shifting institutional priorities.
- Demonstrated ability to engage academic and student success leadership with clarity, authority, and credibility.
- Experience implementing or configuring student success CRM products or related technology in an advising or student services context.
- Experience documenting integration requirements between student success products and SIS, LMS, or CRM systems.
- Experience with full software development or product configuration lifecycle analysis, including requirements gathering, functional specification writing, and quality assurance.
- Experience explaining complex product capabilities to a variety of audiences using clear and effective communication.
- Experience coordinating cross-functional project teams with multiple concurrent workstreams.
- CBAP, CCBA, PMI-PBA, or equivalent professional certification preferred.
Working Environment:
Activities are performed in an environmentally controlled office setting. Activities include evaluating information and interfaces that are primarily visual using computer workstations and mobile devices. Required to travel moderate distances on campus and between campuses to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.
