- As we scale rapidly, IT has become a critical dependency for both velocity and security. Today, onboarding, access management, device provisioning, and security operations are fragmented across teams, creating risk, inefficiency, and inconsistent employee experience.
- We are hiring an IT Manager to fully own and build this function from the ground up. This role will be responsible for designing and operating the systems that ensure every employee is productive on day one and that our company remains secure as we scale.
- This is not a support role. This is a builder role. You will create the infrastructure, processes, and standards that enable Vapi to scale from ~50 to 200+ employees without breaking.
What You’ll Do:
30 Day:
- Take full ownership of onboarding and offboarding across devices, accounts, and system access
- Audit all company hardware, SaaS tools, and access permissions to establish a clear baseline
- Identify gaps in security practices, access controls, and asset tracking
- Centralize IT ownership and begin documenting systems, tools, and processes
60 Day:
- Implement structured onboarding and offboarding workflows that are fast, consistent, and scalable
- Stand up a robust IT asset management system covering procurement, provisioning, tracking, and recovery
- Establish role-based access controls and improve SaaS permission governance across all tools
- Partner with our external CISO to operationalize security practices and roll out company-wide training
90 Day:
- Build a scalable IT operating system that supports rapid hiring and company growth
- Introduce strong device lifecycle management and vendor/procurement processes
- Strengthen security posture through improved access hygiene, monitoring, and compliance readiness
- Create clear documentation and systems that allow IT to run efficiently without constant intervention
Who You Are:
- 5+ years of experience in IT operations, systems administration, or IT management in high-growth environments
- Proven track record of building or significantly improving IT systems and processes at a scaling company
- Deep experience with IT asset management, device lifecycle management, and SaaS access governance
- Strong understanding of security fundamentals, including access controls, identity systems, and security best practices
- Comfortable partnering with external security leaders (e.g., CISO) and translating strategy into execution
- Highly structured and systems-oriented, with the ability to bring order to ambiguity
- Operates with high ownership and urgency, able to independently identify problems and drive solutions end-to-end
- Strong cross-functional communicator who can partner effectively with Engineering, People, and leadership teams
Bonus Experience:
- Experience in a startup or rapidly scaling environment (0 → 100+ employees)
- Familiarity with MDM tools (Jamf, Kandji, Intune, etc.)
- Experience with identity and access management tools (Okta, Google Workspace, etc.)
- Exposure to security awareness programs, compliance frameworks, or audit readiness
