PROPERTY MANAGEMENT COORDINATOR
Department: Accounting & Admin Services
Reports To: Property Management Manager
Location: Office and Assigned Properties
Employment Type: Full - time
Position Summary
The Property Management Coordinator provides administrative and operational support in the day-to-day management of residential and/or commercial properties. This role assists in tenant coordination, recordkeeping, maintenance scheduling, and financial tracking to ensure properties are well-maintained, organized, and compliant with applicable requirements.
Essential Duties and Responsibilities
- Assist in the daily coordination of property operations and activities
- Serve as a point of contact for tenant inquiries and service requests, escalating issues as needed
- Support leasing activities, including documentation for move-ins, move-outs, and renewals
- Track rent payments and follow up on outstanding balances under direction
- Maintain accurate tenant, lease, and property records
- Coordinate maintenance requests, repairs, and vendor scheduling
- Assist with property inspections and documentation of findings
- Support preparation of basic reports, logs, and property-related documentation
- Ensure files and records are organized and compliant with company standards
- Coordinate communication between tenants, vendors, and management
Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Real Estate, or related field (preferred)
- 1–3 years of administrative or property management support experience preferred
- Familiarity with property management processes is an advantage
Knowledge, Skills, and Abilities
- Strong organizational and administrative skills
- Effective communication and customer service abilities
- Attention to detail and accuracy in recordkeeping
- Ability to handle multiple tasks and prioritize workload
- Basic understanding of leasing and tenant coordination processes
- Proficiency in Microsoft Office and/or property management systems
- Problem-solving skills with ability to escalate issues appropriately
Work Environment
- Primarily office-based with occasional property visits as needed
- Standard working hours with minimal need for after-hours support
Additional Requirements / Conditions of Employment
- Valid driver’s license required
- Ability to travel locally for property visits, if required
- May be required to interact with tenants, vendors, and contractors in various settings
