This position serves as the primary point of contact for the Petroleum Storage Tank Bureau, ensuring that internal and external stakeholders' correspondence is efficiently routed to the information and resources they need. By managing front-line communication and facilitating the flow of documentation, this role strengthens the Bureau's operational effectiveness and supports consistent program delivery.
The position adds value by maintaining organized records, supporting business processes, and helping streamline workflow across the Bureau's Sections and Units. Through dependable administrative coordination and document management, it contributes to the Bureau's overall efficiency and supports compliance, continuity, and responsive service to the public and agency partners.
How does it get done?
- Analyze and improve office workflows and operational processes to enhance efficiency and resolve complex administrative issues
- Evaluate front office operations and implement process improvements to support effective service delivery
- Provide comprehensive administrative support, including calendar management, correspondence, phone coverage, mail pickup and distribution
- Manage records and correspondence tracking for the Bureau, ensuring accurate documentation and coordination with internal and external entities
- Support program operations by preparing and distributing communications, maintaining logs, and assisting project teams with administrative needs
- Coordinate logistics and resource tracking, and serve as backup for JustFoia requests
- Collaborate with internal divisions and external partners to address facility, administrative, and operational needs

Minimum Qualification
High School diploma or Equivalency and two (2) years of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid driver's license. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Long periods of sitting, some standing, bending and reaching may be required.
