- Answers telephones promptly, and handles/screens calls, including scheduling of patient appointments as directed and taking messages. Greets patients and schedules return appointments. (10%)
- Verifies insurance coverage, conducts income determinations and assigns payment category and updates patient information. Inputs data in computer in accordance with the "Billing and Front Desk Policies and Procedures" guidelines. Follows Receptionist Training Manual for procedures. (10%)
Patient Preparation & Clinical Support (20%)
- Rooms patients in a respectful, patient-centered manner.
- Obtains and documents vital signs, height, weight and required intake information in the EHR.
- Determines and documents reason for visit and updates histories appropriately.
- Performs medication reconciliation per protocol.
- Prepares exam rooms, equipment and supplies prior to provider entry.
- Assists medical/nursing providers, or as delegated by the nurse team leader, with:
- Physical exams
- Gynecological exams
- Minor/procedures/sutures
- Wound Care
- LARC procedures
- EKG
- Nebulizer treatments
- Audiology/tympanometry
- Other procedures as assigned
- Provides supportive communication during procedures to promote comfort and safety, and understanding.
Safety, Scope & Documentation (20%)
- Prioritizes patient safety and escalates abnormal findings promptly.
- Adheres strictly to scope of practice and seeks clarification when uncertain.
- Performs CLIA-waived testing (hemoglobin, blood glucose, urinalysis, step, mono) per protocol.
- Prepares and administers medications, including immunizations, as ordered and within scope.
- Documents all patient care accurately and timely in the EHR.
- Communicates provider-directed lab and diagnostic test results per policy.
- Reinforces provider education and utilizes teach-back methods when appropriate.
- Follows infection control standards and equipment safety protocols.
- Maintains patient privacy and dignity throughout the encounter.
Care Coordination & Team Collaboration (15%)
- Communicates clearly, respectfully and effectively with patients, families and caregivers.
- Serves as liaison between patients and interdisciplinary care team.
- Collaborates with providers, nurses, care coordinators, front office staff and other departments to support coordinated patient care.
- Schedules in-house procedures and initiates referrals to outside agencies/providers.
- Actively participates in referral tracking, follow-up and care coordination.
- Communicates status updates to providers and care team members per protocol.
Quality Improvement & Population Health (10%)
- Participates in Quality Improvement initiatives, including workflow improvement and metric monitoring.
- Assists with accurate documentation and data entry supporting UDS, HRSA and organizational reporting.
- Identifies care gaps (e.g. immunizations, screenings, chronic disease measures) and supports outreach and follow-up efforts.
- Participates in huddles and staff meetings to review quality metrics and contribute improvement ideas.
- Supports compliance with infection control, patient safety and regulatory standards.
Clinical Environment & Compliance (10%)
- Maintains cleanliness and disinfection of exam rooms and clinical work areas.
- Completes refrigerator/freezer temperature logs, medication and supply expiration checks, and CLIA quality control processes as assigned.
- Maintains and appropriately uses clinical equipment; reports malfunctions promptly.
- Enters orders appropriately for completed testing and health maintenance measures.
- Assists with desktop and workflow functions as assigned.
