New Hampshire employees are immediately eligible for the following paid time off package and all of the hours are accrued:
- Holidays - 12 paid holidays per calendar year, including 3 floating holidays.
- Personal Days - 3 personal days per fiscal year.
- Sick days - 1 sick day accruing per month (Maximum of 130 days).
- Vacation days - 10 paid vacation days per fiscal year (July 1 - June 30); vacation time will increase with years of service.

- 8+ years of service: 4 weeks
Hampshire College also has a winter break that is fully paid for employees from Christmas Eve to New Year’s each year, typically 6 ½ paid days.

DESCRIPTION OF RESPONSIBILITIES:
The Gifts & Records Specialist and Budget Administrator manages all aspects of gift accounting, records management, and budget management. This position builds collaborative relationships with the Business Office, developing policies and documenting procedures to ensure that all gifts and pledges to Hampshire College are recorded, receipted, tracked, and reported in compliance with IRS and accounting guidelines; and that all budget expenditures follow Hampshire’s internal auditing procedures as well as accounting standards. This position also maintains the college’s fundraising database by entering and editing information about alums, parents and friends of the college.

SKILLS:
- Enters all gifts, pledges, and biographic information into the Advancement database.
- Develop policy and document procedures to ensure Hampshire’s gift accounting follows IRS and accounting guidelines.
- Works closely with the Business Office to ensure all budget expenditures follow Hampshire’s internal accounting standards.
- Successful candidate needs to be extremely detailed oriented: entry processes are often complicated with many specific steps, and accuracy is essential.
- Reviewing correspondence to independently determine what information should be updated.
- Researching those individuals whose mail has been returned.
- Running reports to test accuracy of data.
- Ensuring that proper data standards are updated in the Core Process Manual.
- Training new users in processing data accurately.

- Familiarity with IRS regulations regarding charitable giving, particularly those related to a higher education setting.
- Experience with budgets or data tracking.
- Experience with Ellucian Colleague or other relational databases.
REQUIRED CERTIFICATION, EDUCATION, AND EXPERIENCE:
- An Associate’s Degree
- Minimum of two years’ experience with relational databases and bookkeeping, including both the inputting and maintenance of data and the generation of reports.
- Successful candidate will have knowledge of financial accounting systems and bookkeeping processes.
- Experience with computers within a professional environment; proficiency with Word, Excel, Access and the ability to learn other relational database programs.
- Strong organizational and communication skills.
- Aptitude to manage multiple tasks.
- Ability to maintain confidentiality of college and donor information and data.
- A commitment to working with people from diverse backgrounds.
