About the Role
We are seeking an experienced, highly organized, and proactive Executive Assistant contractor to provide maternity leave coverage for senior executive support within a dynamic leadership environment. This role will primarily support the CEO and CMCO (Chief Marketing & Communications Officer), with close partnership across our broader Executive Leadership Team, including the CPTO (Chief Product & Technology Officer) and CFGO (Chief Financial & Growth Officer).
The scope for this role spans executive support, cross-functional coordination, and leadership operations and planning. The position requires both tactical execution and the ability to operate in a highly trusted, fast-paced executive environment. The ideal candidate is an exceptional communicator and coordinator who thrives in high-visibility, fast-moving environments; exercises sound, independent judgment; anticipates needs; and seamlessly manages competing and evolving priorities across multiple executives and teams.
This role requires strategic prioritization and filtering of requests, optimization of executive time and attention, proactive problem-solving, strong responsiveness, and the ability to handle highly confidential matters with discretion and professionalism.
This is a full-time, temporary contract role expected to last approximately six months.
Responsibilities
- Manage multiple complex and dynamic calendars for senior executives
- Coordinate and track internal and external initiatives and requests across the executive team
- Proactively track day-to-day tasks, action items, and follow-ups to ensure timely execution and accountability
- Partner with external agency partners to coordinate media and communications efforts, including scheduling, logistics, and stakeholder alignment
- Track and communicate workback plans, timelines, and key milestones — particularly for media and communications activities such as travel, interviews, podcasts, and on-background conversations
- Support executives in preparing for meetings and engagements by ensuring prereads and briefing materials are received in advance, blocking preparation time, supporting agenda development, and managing follow-up actions
- Optimize executive time and focus by thoughtfully prioritizing requests and competing demands
- Serve as a trusted partner in the executive information flow, maintaining alignment and communication across teams and leadership
- Partner with the Travel & Expense Executive Assistant to ensure seamless travel coordination and expense processing
- Plan and execute leadership offsites, group meetings, executive dinners, and team events as needed
- Handle sensitive and confidential information with complete discretion and professionalism
What We're Looking For
- 5+ years of experience supporting senior executives or executive teams in a fast-paced, high-growth environment.
- Proven experience managing complex, dynamic calendars and navigating constantly shifting priorities while maintaining exceptional accuracy, responsiveness, and attention to detail. Ability to make thoughtful tradeoffs to optimize executive time and focus.
- Exceptional organizational and project management skills, with a demonstrated ability to coordinate cross-functional initiatives, track action items, and drive follow-through across multiple stakeholders.
- Exceptional written and verbal communication skills, with a talent for conveying information clearly and concisely and building strong relationships with senior leaders, external partners, and agencies.
- Highly proactive and resourceful, with the ability to anticipate needs, exercise sound judgment, identify potential issues, and drive solutions with minimal direction.
- Experience supporting executive meetings, leadership events, and external engagements, including preparation, logistics, and follow-up.
- Demonstrated discretion, professionalism, and sound judgment when handling highly confidential information.
- Proficiency with Google Workspace, Microsoft Office, Slack, Zoom, and other collaboration tools.
Compensation
- $45 - $55 an hour
Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary range is reflective of a position based in New York City. This salary will be subject to a geographic adjustment (according to a specific city and state), if an authorization is granted to work outside of the location listed in this posting.
