Job Summary
The Clinic Coordinator is responsible for the efficient management of daily clinic operations across assigned outpatient clinics. This role coordinates patient care activities, manages clinic schedules, facilitates communication between patients and healthcare providers, and supports the smooth functioning of administrative and clinical workflows. The Clinic Coordinator works closely with clinic leadership to promote operational efficiency, quality patient care, and a positive patient experience.
Essential Duties & Responsibilities
- Assist patients with access to medications, including patient assistance programs when insurance coverage is unavailable or limited
- Coordinate medication prior authorizations for specialty and non-specialty medications
- Ensure diagnostic and procedural reports are accurately matched and routed to appropriate providers
- Verify completion and documentation of ordered diagnostic studies within the electronic medical record
- Assist with maintaining surgical and procedural schedules
- Support clinic leadership with provider call schedules as needed
- Provide clinical support, including filling in as a Medical Assistant during staffing shortages
- Serve as a liaison between front office staff and clinical teams
- Respond to patient inquiries regarding clinic services, policies, and procedures
- Support clinic leadership with administrative tasks, including time and attendance tracking
- Manage and maintain provider clinic templates and schedules
- Monitor inventory and order clinic supplies
- Coordinate with billing and coding departments to support accurate documentation and billing
- Submit service tickets for clinic operational issues and place orders for print materials
- Facilitate communication between patients, providers, and clinic staff
- Coordinate with internal departments and external facilities to support continuity of care
- Ensure compliance with clinic policies, procedures, and regulatory standards
- Participate in quality improvement initiatives and implementation of new workflows
- Monitor patient satisfaction and escalate concerns to clinic leadership
- Assist with training and onboarding of new staff members
- Participate in staff meetings and clinic planning activities
- Perform other duties as assigned
Minimum Qualifications
- Associate degree in healthcare administration, nursing, or a related field preferred
- Medical Assistant certification or similar credential preferred
- Minimum of two (2) years of experience in a medical office or clinic setting
- Experience with electronic medical record systems and medical billing practices preferred
- Strong organizational, communication, and multitasking skills
- Ability to work independently and as part of a team

- Prolonged periods of sitting, standing, and computer use
- Occasional lifting of clinic supplies and equipment
- Fast-paced clinic environment with frequent patient interaction
