JOB SUMMARY
Works under minimal supervision to assist in project development while exercising independent judgement and authority as required. Manage overall project and program development activities.
Serves as representative for Harbour Lab to trainees, potential lab members, collaborators, grants administrators, funding agencies, industry and non-profits. Reports to Harbour Lab Principal Investigator and Department Chair, J. William Harbour, MD.
Projects with Trainees
Manage list of potential projects for medical students, residents, fellows and other non-lab based trainees working with Dr. Harbour and the Harbour Lab.
Coordinate with trainees and Department Clinical Research Unit (CRU) to ensure compliance with research training and procedures.
Provide guidance to trainees in data collection, data analysis (coordinate with biostatistician, etc.), initial manuscript draft, layout of tables and figures.
Coordinating manuscript writing and draft management.
Assist trainee in manuscript submission.
Harbour Lab Collaborations
Coordinate with Department CRU and outside collaborators regarding data sharing for collaborative projects.
Coordinate with industry and collaborative investigators on active projects, work group meetings, annual meetings, etc.
Harbour Lab Grants
Maintain current list of potential grant funding sources and RFAs.
Work with Dr. Harbour, Harbour Lab Manager, Department Grants Manager, collaborators, and SPA to put applications together for submission.
Coordinate with collaborators regarding timelines on grant applications.
Prepare progress reports for active grants and donor-funded projects.
Harbour Lab Manuscripts
Work with Dr. Harbour to write initial manuscript drafts and maintain draft management through the final submitted version.
Work with Dr. Harbour, Lab Manager and co-authors to manage manuscript resubmissions.
Coordinate with co-authors regarding timelines, affiliations, ORCID numbers, etc.
Coordination with Key Department Members
Coordinate with Harbour Lab Manager and attend Harbour Lab Meetings.
Coordinate with Department Program Coordinator and Assistant to Dr. Harbour on schedules and deadlines.
Coordinate with Department Assistant Director of Operations (VS) on lab member recruitment.
Coordinate with Department Research Program Manager (PC) on Harbour Lab pre-award and post-award grant management.
Coordinates with Department Marketing Manager (JR) on Harbour Lab web and social media presence.

JOB DUTIES
Exercises decision-making and problem-solving skills to manage portfolio of projects to include all process development initiatives from design to implementation. Serves as point-of-contact for the business unit for the receipt, coordination and analytical preparation of information. Tasks include, but not limited to monitoring and maintaining all project intake submissions, establishment of work-flows across the business unit as a whole which includes ambulatory, basic and clinical science, and administrative.
Develops and maintains project work plans to measure and manage progress against budgets, project scopes, goals, timelines and deliverables clearly communicating project expectations to team members and management.
Ensures compliance with applicable laws, regulations, policies and procedures. Develops best practices and tools for execution of program requirements and goals. Aligns business processes, clinical care/standards and research practices with institutional and national standards and provides mechanism to deliver information to staff/faculty as necessary. Recommends and develops new policies and procedures for improvement of program activities.
Develops, cultivates, and maintains working relationships with internal and external agencies and other organizations and institutions associated with the Chairman's Office. May represent the Department Administrator as a liaison to Medical Directors, residents, staff, institutional and external departments and University administration in support of departmental goals and objectives.
Will independently audit departmental processes and offer recommendations for process improvement and efficiency.
Provides standard and ad hoc reports to business unit leadership as needed.
Performs other duties as assigned.
