We are a growing commercial construction company dedicated to delivering high-quality projects with integrity, professionalism, and efficiency. We are seeking an organized and detail-oriented Inter Office Assistant to support our office administrator.
Position Overview:
We are seeking a highly organized, detail-oriented Inter Office Assistant to support our Office Manager with the daily operations of our growing construction company. This position is ideal for someone who enjoys working in a fast-paced environment, has excellent communication and organizational skills, and is eager to grow within the construction industry.
Key Responsibilities:
- Provide daily administrative support to the Office Manager.
- Answer and direct incoming phone calls and emails.
- Greet clients, vendors, and visitors in a professional manner.
- Prepare, organize, and maintain project files and office records.
- Assist with data entry and document management.
- Track Certificates of Insurance (COIs), W-9s, subcontractor documents, and other compliance paperwork.
- Assist with permit applications and project documentation.
- Coordinate office supplies, mail, and general office organization.
- Schedule meetings, appointments, and travel arrangements as needed.
- Assist with accounts payable and accounts receivable documentation.
- Support project managers and field staff with administrative tasks.
- Perform other administrative duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- Previous administrative or office experience preferred.
- Construction industry experience is a plus but not required.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Experience with QuickBooks Online preferred; training will be provided for the right candidate.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Positive attitude with a willingness to learn.
- Ability to work independently while supporting a collaborative team.
- Ability to multitask and prioritize in a fast-paced environment
Job Type: Full-time
Base Pay: $23.00 - $28.00 per hour
