US Energy Solutions, Inc. is seeking a professional, customer-focused, and organized Customer Service Representative to serve as the primary point of contact for our customers. This position is responsible for providing exceptional customer support, managing inbound and outbound communications, coordinating service requests, assisting with scheduling, overseeing sales order processing, and ensuring a positive customer experience throughout the entire project and service lifecycle.
The ideal candidate will possess strong communication skills, attention to detail, problem-solving abilities, and the ability to work effectively in a fast-paced environment while maintaining a high level of professionalism. Ability and willingness to learn technical products, services, and the industry terminology.
Experience
- Minimum of 2 years of customer service experience.
- Experience in construction, energy, HVAC, electrical, solar, or service-related industries preferred.
- Experience with CRM software and customer support platforms. Zoho preferred.
Essential Duties and Responsibilities
Customer Communication
- Answer incoming phone calls, emails, and customer inquiries promptly and professionally.
- Provide information regarding products, services, appointments, estimates, invoices, and project status.
- Maintain positive customer relationships through courteous and responsive communication.
- Resolve customer concerns and escalate issues to management when necessary.
- Conduct customer follow-up calls to ensure satisfaction with completed work.
Service Coordination
- Receive and document service requests from customers.
- Create and update service tickets in Zoho Desk and other company software platforms.
- Coordinate with the Service Manager and Project Coordinator regarding scheduling and dispatching service technicians.
- Communicate appointment confirmations and schedule changes to customers.
- Monitor open service requests and ensure timely resolution.
Administrative Support
- Maintain accurate customer records within Zoho CRM, Zoho Desk, and related systems.
- Upload and organize customer documentation, contracts, permits, warranties, and correspondence.
- Assist with sales order fulfillment
- Assist with data entry, filing, and record maintenance.
- Support invoicing and payment collection efforts by communicating with customers regarding outstanding balances when directed.
Project Support
- Assist customers through various stages of installation and service projects.
- Provide updates regarding permitting, inspections, scheduling, and project milestones.
- Coordinate communication between customers, project coordinators, sales representatives, and field personnel.
Customer Satisfaction
- Conduct post-installation and post-service follow-up calls.
- Document customer feedback and report trends to management.
- Assist in maintaining high customer satisfaction ratings and positive online reviews.
- Identify opportunities to improve customer service processes and procedures.
Qualifications
Education
- High School Diploma or GED required.
- Associate Degree in Business Administration, Customer Service, or related field preferred.
Skills and Abilities
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Experience with Zoho CRM, Zoho Desk, or similar software is preferred.
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Professional telephone etiquette.
- Attention to detail and accuracy.
Physical Requirements
- Prolonged periods of sitting and working on a computer.
- Ability to communicate effectively by phone and email.
- Ability to occasionally lift up to 20 pounds.
Work Environment
- Office-based position.
- Standard business hours with occasional overtime as required.
- Frequent interaction with customers, vendors, technicians, project managers, and sales personnel.
