The Birmingham office of Clark Hill PLC is seeking a Legal Administrative Assistant (LAA) to support its Litigation attorneys. The ideal candidate will be proficient with Microsoft Office including Outlook, Word and Excel, including the use of styles and the creation and formatting of complex documents. This position reports to the Office Manager, as well as their assigned attorneys, and is responsible for providing the requisite legal secretarial and administrative support (clerical) needs of their assigned attorneys. This is a 37.5 hour per week, non-exempt, hybrid position with an in-office requirement of 3 days/week. The hybrid schedule is available after 90 days of employment.
RESPONSIBILITIES / JOB DUTIES:
- Provides general administrative assistance, such as maintaining the attorney's calendar and making travel arrangements.
- Provides administrative and litigation assistance to assigned attorneys and LAA Team.
- Draft and proofread correspondence and legal documents, such as pleadings and contracts.
- Responsible for time entries.
- Creates letters, memos and reports as required. Prepare and distribute office correspondence.
- Enters conflict information into the system for the purpose of running conflict checks for new clients and opening of new matters.
- Understands and delivers on the needs of the internal customers.
- Completes and submits check request forms.
- Communicates with clients and witnesses to schedule meetings, interviews, and depositions.
- Train on various technology applications used across the firm as needed.
- Manages, organizes, and maintains documents in paper and/or electronic filing systems.
- Electronically files pleadings with the appropriate court system.
- Provides documentation, as required, to clients and opposing Counsel.
- Manages incoming phone calls and inquiries.
- Performs other duties or tasks as assigned or requested by the Office Manager, attorneys, and paralegals, and other related tasks.

EDUCATION / EXPERIENCE:
- High school diploma or GED equivalent required.
- Three (3) to five (5) years of prior successful experience as a litigation Legal Secretary is required.
The salary range at the time of posting is approximately $60K-$70K annually, depending on experience and based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus.
