Job Description
The Legal Assistant provides advanced administrative and operational support to the Office of General Counsel (OGC) at WGU Corporation. Reporting to the Deputy General Counsel, this role supports the effective functioning of the legal department by coordinating recurring legal and compliance processes, maintaining departmental records and calendars, supporting financial and vendor workflows, and assisting with legal operations activities. The Legal Assistant works with a high degree of discretion and organization while supporting sensitive matters and multiple stakeholders in a regulated, mission-driven environment. This role is intended for an experienced legal administrative professional who operates independently within established processes, supports complex departmental workflows, and contributes to the consistency and efficiency of legal department operations.
Essential Functions and Responsibilities:
- Coordinate and support recurring legal department processes, including intake and routing of requests, tracking of deadlines, and follow-up on assigned actions to support timely completion of work.
- Maintain calendars, logs, and records related to corporate registrations, charitable solicitation registrations, annual reports, and business license renewals across applicable jurisdictions; prepare documentation and track filings in coordination with attorneys and internal stakeholders.
- Support insurance administration activities by gathering requested information, coordinating renewal materials, and maintaining organized insurance records, policies, certificates, and correspondence.
- Provide administrative support for legal department financial workflows, including routing invoices for review and approval, assisting with vendor setup requests, tracking accruals, responding to routine billing inquiries, and preparing expense reports.
- Maintain organized legal department files, templates, policies, and records, ensuring accurate documentation and accessibility in accordance with department standards.
- Support onboarding and offboarding logistics for OGC team members by coordinating access requests, equipment setup, checklist completion, and related administrative tasks.
- Assist with legal operations activities by supporting system and process administration, maintaining documentation, organizing records, and assisting with implementation or rollout logistics as directed.
- Support privacy and compliance workflows by tracking requests, maintaining logs, gathering records, coordinating with internal teams, and supporting timely follow-up on assigned tasks.
- Compile and organize information to support legal department reporting related to workload, deadlines, budget tracking, or operational planning.
- Coordinate scheduling, meetings, and departmental logistics, including conference rooms, team activities, and events.
- Monitor and route internal and external inquiries to appropriate OGC staff.
- Perform other duties as assigned.

Knowledge, Skill and Abilities:
- Advanced administrative and organizational skills with the ability to manage multiple recurring processes, deadlines, and priorities with minimal supervision.
- Strong attention to detail and accuracy in maintaining records, calendars, logs, and documentation.
- Ability to exercise sound judgment and discretion when handling sensitive and confidential legal and institutional information.
- Working knowledge of administrative and operational workflows in a legal, compliance, or regulated environment.
- Ability to coordinate effectively with attorneys, internal stakeholders, vendors, and external partners.
- Strong written and verbal communication skills, including the ability to convey information clearly and professionally.
- Ability to follow established processes while identifying issues, inconsistencies, or gaps and escalating them appropriately.
- Proficiency with Microsoft Office and the ability to learn and use department systems, databases, and workflow tools.
- Ability to work independently within defined responsibilities while supporting a collaborative team environment.
Job Qualifications
Minimum Qualifications:
- High school diploma or GED
- 4 years of progressively responsible administrative or operational support experience, preferably in a legal, compliance, or regulated environment.
Preferred Qualifications:
- Associate’s degree
- Experience supporting a legal department, law firm, or in-house legal team.
- Experience coordinating corporate registrations, licensing, insurance administration, or other regulated filing processes.
- Experience supporting billing, invoicing, or expense workflows, including work with outside vendors or professional services firms.
- Familiarity with privacy or compliance request tracking, policy administration, or regulated record-keeping environments.
- Experience in higher education, nonprofit, or other mission-driven organizations.
Travel:
This position requires occasional travel of up to 20%, including required attendance at designated company summits (typically one to two per year). Additional travel may include conferences, visits to company locations, and other business-related events as needed. Additional travel may be assigned as needed to support business requirements.
