Job Details
The IP Legal Assistant supports attorneys in managing U.S. and foreign patent and trademark portfolios. This role is integral to the daily operations of the firm's intellectual property practice, requiring a high level of accuracy, strong organizational skills, and the ability to manage competing priorities in a fast-paced, deadline-driven environment.
Location: Dallas, TX
Schedule: Monday–Friday | 9:00 AM – 6:00 PM (flexible) | 1-hour unpaid lunch
Work Model: Primarily in-office with 1 remote day per week
Classification: Full-Time | Non-Exempt (hourly)
Overtime: Occasional early morning, evening, or weekend overtime may be required
KEY RESPONSIBILITIES
- Analyze incoming correspondence related to the prosecution of intellectual property rights and enter pertinent data and deadlines into docketing database
- Prepare docketing reports for attorneys; research and timely respond to docket-related questions; ensure full docket clearance on a daily basis
- Perform legal support tasks and collaborate with attorneys, staff, and firm departments to complete daily assignments
- Process, organize, and track assigned attorneys' travel itineraries, expense reports, reimbursements, and check requests
- Open new matters, interface with firm clients and vendors, and maintain positive ongoing business relationships
- Enter attorney time on a regular basis and assist with client billing matters
QUALIFICATIONS
Required
- U.S. patent prosecution knowledge is required
- High level of accuracy with a strong ability to perform in a fast-paced, deadline-driven environment
- Self-starter who can anticipate needs, identify problems, find solutions, and meet deadlines with minimal supervision
- Excellent organization, time management, and written and verbal communication skills
- Proficiency in docketing database, Microsoft 365, Adobe Acrobat, and a document management system such as iManage
- Regular, consistent, and punctual attendance
- Ability to work occasional overtime (early mornings, evenings, or weekends) as needed
- Willingness to participate in ongoing internal and external IP law and docketing training
