Position Summary
The Medical Secretary provides coordination and administrative support for the WashU Medicine Interprofessional Pro Bono Health Clinic and the Community Engagement (CE) Hub. This position supports weekly clinic operations, including patient scheduling, intake, and referrals; facilitates communication among patients, providers, students, and campus partners; and coordinates community engagement activities for MD students.
The role maintains the CE Hub repository and related web content, manages communications with community agencies, and supports the smooth delivery of curricular and co-curricular service learning experiences.
Job Description
Primary Duties & Responsibilities:
WUSM Interprofessional Pro Bono Health Clinic:
- Coordinate patient enrollment and scheduling in EPIC, conduct intake screening, provide follow‑up to support enrollment, navigation, and satisfaction.
- Serve as a first point of contact for visitors and callers. Respond to questions and connect community members to appropriate medical, social service, and university resources.
- Arrange language interpretation and transportation services as needed to facilitate clinic access.
- Coordinate student involvement and clinic staffing logistics. Support interoffice activities, schedule, and complete administrative tasks in partnership with clinic leadership.
- Maintain clinic supplies and equipment. Coordinate ordering, receiving, and distribution. Evaluate purchasing sources and liaise with vendors for service issues.
- Oversee basic facility needs. Submit and track maintenance and housekeeping requests, support clinic safety and quality activities, including inspections.
- Maintain and update clinic web content in collaboration with the Clinic Director and the WashU Medicine content strategist.
- Conduct community outreach using relevant communication to raise awareness of clinic opportunities.
Community Engagement Hub and Service-Learning:
- Support administration, communication, and coordination of curricular and co‑curricular community engagement activities within the Office of Education.
- Monitor the CE Hub email inbox daily, triage inquiries and route to appropriate staff or partners for action.
- Maintain the CE Hub’s online repository of prioritized service-learning opportunities. Post and update volunteer events and community partner information.
- Maintain departmental policies, procedures, and required records, including MOUs with community agencies and regulatory documentation.
- Prepare reports, meeting minutes, correspondence, and presentation materials. Attend and contribute to team meetings.
- Sustain regular communication with community agencies to support ongoing partnerships and student placements.
- Post Collaboration for Interprofessional Education (IPE) events and related updates to CE Hub and program web pages.
Working Conditions:
- Typical clinic and office environment; frequent in‑person interaction with patients, students, faculty, staff, and community partners.
- Occasional evening or weekend hours to support clinic operations or community events.
- Ability to travel between campus and community partner locations as needed.

Salary Range
$19.29 - $29.91 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
