Tips for Your Office Secretary Job Search
Tailor your resume for each setting
A legal office secretary resume should highlight document formatting, court filing procedures, and confidentiality protocols, while a medical office version should emphasize scheduling software, patient records, and HIPAA compliance. One generic resume loses out to a targeted one every time.
List every software tool you use
Employers scan for specific platforms like Microsoft Office Suite, Google Workspace, HRIS systems, and practice management software. Name every tool you've used regularly, including the version if it matters for specialized industries like law or healthcare.
Apply early to roles that fit
Migrate Mate lists office secretary openings from across the United States in one place, so you can find roles that match and apply directly to each listing.
Decode the job title before applying
Office secretary, administrative assistant, and office coordinator often describe nearly identical roles with different pay bands. Read the duties list carefully, not just the title, to confirm the scope matches your experience and target seniority level.
Prepare for a skills assessment at interview
Many office secretary interviews include a timed typing test, a proofreading exercise, or a mock scheduling scenario. Practice your words-per-minute, review basic grammar rules, and be ready to walk through how you prioritize competing calendar requests.
Negotiate with the full compensation package in mind
After receiving an offer, ask about PTO accrual, professional development reimbursement, and schedule flexibility before accepting. These are often more negotiable than base pay in administrative roles and meaningfully affect the real value of the position.
Office Secretary Jobs: Frequently Asked Questions
Which companies are hiring the most office secretarys?
The companies hiring the most office secretarys right now include NYU Langone Health, Jackson Lewis, and Trinity Health, with the largest share of openings in New York, Pennsylvania, and Texas, based on current listings on Migrate Mate as of June 2026. Healthcare systems, law firms, and government agencies tend to post the highest volume of openings year-round.
How many office secretary jobs are remote?
About 8% of office secretary openings are fully remote or hybrid as of June 2026, though the majority still require on-site presence due to front-desk and in-person coordination duties. Sub-areas most likely to offer remote or hybrid arrangements include executive assistant roles, corporate legal departments, and administrative support positions at technology companies.
How do you become a office secretary?
Start by earning a high school diploma, then build proficiency in Microsoft Office, particularly Word, Excel, and Outlook, since these appear in nearly every job listing. Take a typing course to reach at least 50 words per minute. Look for entry-level receptionist or administrative clerk roles to build scheduling and correspondence experience, then apply to office secretary positions as you accumulate practical skills.
How do you get hired as a office secretary with little or no experience?
Focus on transferable skills you already have, such as customer service, data entry, or phone handling from retail or hospitality work, and frame them in terms of office tasks like managing inquiries and maintaining records. Volunteer or temp roles at schools, nonprofits, or local businesses can fill an experience gap quickly. Highlight any software tools you know and emphasize your reliability and attention to detail in your cover letter.
What does the office secretary interview process look like?
Most office secretary interviews start with a phone or video screen focused on your availability, software skills, and experience with scheduling or correspondence. An in-person interview typically follows, often including a practical skills test such as a typing assessment or a proofreading task. Interviewers commonly ask situational questions about handling difficult callers, managing competing priorities, and maintaining confidentiality in sensitive environments.
Where can I find and apply to office secretary jobs?
You can find and apply to office secretary jobs on Migrate Mate, which lists current openings from employers across the United States. Search the listings to find roles that match your experience, industry preference, and location, then apply directly to each opening that fits. No single application covers every role, so apply individually to the positions that are the strongest match for your background.
