Job Description Summary:
The Administrative Assistant 2 provides routine administrative and secretarial support as directed, for an individual, group, or department. Responsibilities may include coordination and scheduling, supplies and equipment ordering, meeting minutes, correspondence, answering and transferring phone calls, preparing spreadsheets and presentations, managing schedules, coordinating travel, conference calls, and processing expense reimbursement requests. Completes routine tasks under moderate supervision.
Duties/Responsibilities
- Answering and screening telephone calls
- Prepare reports, meeting minutes and correspondence
- Create and edit documents, spreadsheets and presentations
- Schedule coordination, arrange appointments and itineraries
- Coordinate meetings, travel, conference calls, and complete expense reports
- Maintain general office supplies and order project materials
- Coordinate incoming / outgoing mail and packages
- Coordinate clearance/badge requests
- Ensure required internal paperwork/documents are maintained for audit compliance
- Coordinate internal moves and facilities rearrangement, maintenance, and custodial requests
- Perform other duties as assigned
- Place P-Card orders for various materials
- Track Capital expenditures (Equipment, facilities upgrades, etc.)
- Act as timesheet proxy for department staff
Skills
- Highly proficient administrative support skills and office applications skills (Microsoft Word, PowerPoint, Excel)
- Highly proficient in all communication skills (phone, verbal and written)
- Ability to handle sensitive information and situations with poise and professionalism
- Ability to proofread and edit written documents
- Strong organizational, coordination and judgment skills
Education
High School Diploma or Equivalent required or Associate's Degree in a related field of Study preferred

The US base salary range for this full-time position is $24.00 - $40.80. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Union ranges will be in compliance with the collective bargaining agreement's approved rates by location and role.
