Tips for Your Proposal Coordinator Job Search
Tailor your resume to RFP language
Pull exact phrases from job postings, such as 'compliance matrix,' 'color team review,' or 'win themes,' and mirror them in your resume. Proposal coordinators are evaluated on their familiarity with the proposal lifecycle, so generic project management language won't cut it.
Apply early to roles that fit
Migrate Mate lists proposal coordinator openings from across the United States in one place, so you can find roles that match and apply directly to each listing.
Highlight tools and software by name
Employers hiring proposal coordinators expect fluency with tools like Loopio, RFPIO, Qvidian, or SharePoint. Name every platform you've used in a dedicated skills section, even if your exposure was limited, because screeners filter on these keywords.
Build a sample proposal for your portfolio
If you lack formal proposal experience, write a sanitized or fictional response to a publicly available RFP. Showing you understand executive summary structure, compliance checklists, and section formatting signals readiness in ways a resume alone cannot.
Prepare to walk through a live editing scenario
Many proposal coordinator interviews include a timed editing or formatting exercise using Word or a proposal template. Practice applying style guides under pressure, catching inconsistencies across contributor sections, and reformatting dense technical content for readability.
Negotiate start dates around active bids
Proposal teams often lose productivity during transitions, so when negotiating your start date, ask whether a current bid cycle is in progress. Offering flexibility to start before or after a submission deadline shows you understand how the work actually runs.
Proposal Coordinator Jobs: Frequently Asked Questions
Which companies are hiring the most proposal coordinators?
The companies hiring the most proposal coordinators right now include Horton Lees Brogden Lighting Design, Arup, and EPIC Insurance Brokers & Consultants, with the largest share of openings in New York, Massachusetts, and Oregon, based on current listings on Migrate Mate as of June 2026. Government contractors and large professional services firms tend to post the highest volume of roles.
How many proposal coordinator jobs are remote?
About 75% of proposal coordinator openings are fully remote or hybrid as of June 2026, reflecting how much of the work centers on document collaboration and deadline management rather than on-site presence. Grant-focused and commercial proposal roles tend to offer the most remote flexibility, while defense and classified-contract positions more often require on-site work.
How do you become a proposal coordinator?
Start with a degree in English, communications, or business, then build document formatting and editing skills using Word and style guides. Gain exposure to project coordination or administrative roles that involve deadline tracking and cross-team communication. Volunteering to support a grant application or writing center can substitute for direct proposal experience. Familiarity with a proposal management platform accelerates hiring significantly.
Can you get a proposal coordinator job with little or no experience?
Yes, entry-level proposal coordinator roles exist, particularly in professional services, nonprofits, and mid-size government contractors. Employers at this level prioritize strong writing, meticulous formatting skills, and the ability to meet hard deadlines over years of direct proposal work. A writing or editing portfolio, even from academic or volunteer projects, combined with a cover letter that demonstrates awareness of the RFP process, can overcome a thin resume.
What does the proposal coordinator interview process look like?
Most hiring processes include an initial screening call focused on your experience with deadlines and document coordination, followed by a panel or hiring manager interview where you discuss specific proposals you have supported. A practical exercise, such as editing a poorly formatted section or building a compliance matrix from a short RFP excerpt, is common at the final stage. Some employers also ask for a writing sample or a walk-through of past proposal work.
Where can I find and apply to proposal coordinator jobs?
You can find and apply to proposal coordinator jobs on Migrate Mate, which lists current openings from across the United States. Search the listings to find roles that match your experience level, industry preference, and location, then apply directly to each listing that fits.
